Job Description


The University Advancement Office (UAO) supports NTU\xe2\x80\x99s giving mission by fostering meaningful relationships and strategic partnerships with philanthropists, alumni, business community partners, corporations that result in goodwill and philanthropy towards education and research that underpin a shared sustainable future.The Assistant Manager, Administrative Support will provide comprehensive administrative and secretariat support to the Chief Development Officer, ensuring UAO\xe2\x80\x99s smooth and efficient operations. The role involves managing calendars, coordinating meetings and handling sensitive information in relation to UAO\xe2\x80\x99s stakeholders. The ideal candidate will be a highly organized and resourceful individual with excellent communication skills and the ability to work effectively with diverse stakeholders.Key Responsibilities:

  • Manage and coordinate calendar, appointments, and travel arrangements
  • Provide secretariat day-to-day support, including minute-taking, data gathering, report preparation, and presentation slide creation for meetings.
  • Organize and manage events, meetings, and special projects as required
  • Assist in the preparation and collation of management reports, ensuring clarity and conciseness in presentation.
  • Sustain productive relationships with internal and external stakeholders, such as Major Donors, acting as a key liaison on behalf of UAO.
  • Handle confidential and sensitive information with discretion and maintain the highest level of confidentiality.
  • Support administrative tasks such as managing budgets, assets, and physical spaces related to UAO office.
Requirements:
  • A Bachelor\xe2\x80\x99s degree from a recognized institution
  • At least 3 - 4 years of experience in a similar role, ideally within a fast-paced or dynamic environment.
  • Strong organizational and time management skills with high attention to detail.
  • Excellent verbal and written communication skills, with the ability to prepare grammatically correct business correspondence and reports.
  • Ability to exercise discretion, maintain confidentiality, and handle sensitive information.
  • Strong interpersonal skills, with the ability to work effectively with people at different levels.
  • A proactive, resourceful, and adaptable approach to work.
  • Proficient in Microsoft Office applications.
