The Office of Commercial and Auxiliary Services (OCAS) oversees the management of estate leases and commercial services (such as leasing of spaces for F&B, amenities & lifestyle services, short-term accommodation, and meetings/events), and auxiliary services (such as car parks, shuttle bus services, campus security, business continuity planning and emergency management) for NTU\xe2\x80\x99s main campus, Novena campus and NTU@One-North campus.
This position is responsible for promoting operational excellence by ensuring that NTU\xe2\x80\x99s operators of offices, F&B and retail outlets, services of Childcare Centre, Medical Centre, etc. on the NTU main campus, fulfil contractual obligations in tenancy/service agreements and observe regulatory compliance for the safety of the NTU community and for parties working at or operating within the premises of the operators. The Assistant Manager will engage actively with Office of Development and Facilities Management, Student Affairs Office and NTU Student Union in meeting the needs of the NTU community.
The key functional contributions from the Assistant Manager will include:
Works closely with NTU\xe2\x80\x99s stakeholders, operators / tenants to meet service expectation and to ensure smooth operations when delivering essential services to the NTU community.
Oversees the on-going improvement and implementation of initiatives and work processes to influence operators/ tenants to uphold operational excellence, improve and refine their existing work processes to fulfil contractual obligations and regulatory compliance.
Communicates NTU community\xe2\x80\x99s feedback, conduct ground audits, periodic inspections of premises and communicate audit findings in a simple and timely manner. Follow-up on non-compliance or to discuss and guide operators into resolving matters arising in a collaborative manner.
Provides continuous improvement to the current audit automation system according to contractual or regulatory compliance. Review and streamline processes to improve team\xe2\x80\x99s productivity via automation and use of technology, etc.
Prepares analytical reports and graphic representation of audit findings for communication to operators/ tenants and for management reporting. Prepare management reports and forecasts.
Develops analytics models and insights for customers facing tenants to improve on their service/offerings and to OCAS to drive stakeholders\xe2\x80\x99 satisfaction.
Reviews tenancy fitting-out plans, documentary submission relating to maintenance & repairs works/ fitting-out works/ reinstatement works, authorise work commencement, monitor fitting-out compliance, conduct activities relating to procedures in handing over and taking over of units, in fitting-out work completion and in pre-opening inspection.
Handles contracts for maintenance works and services (such as building, mechanical and electrical, etc)
Fosters a positive thinking service culture and provide professional support to the F&B Operations.
Cultivates good landlord-tenant relationships.
Conducts market research on competing properties and market benchmarks.
Requirements:
Degree in Building, Facilities, Real Estate or related field. Diploma holders with exceptional experience may be considered.
At least 3 years of experience in commercial leases and food and beverage position, preferably in a diverse F&B, hospitality and events environment.
At least 3 years of direct involvement in submitting or approving fitting-out applications and in tenancy operations.
At least 3 years of direct or indirect exposure to environmental safety, food safety & hygiene standards set by the relevant government authorities.
Good communication skills, both verbal and written.
Logical thinking skills to find suitable solution or recommend appropriate course of action.
Possesses a good understanding of tenancy related processes, with the ability to read and understand technical drawings and floor plans.
Enjoys working collaboratively as a team for cross functional interactions within NTU.
Able to work independently or execute effectively with guidance.
A deep understanding and appreciation of customers\xe2\x80\x99 needs and experience.
Proven ability to innovate and lead in creative solutioning for improvement in revenue and service delivery.
Ability to engage NTU\xe2\x80\x99s requirements into operational work processes.
Proficient in Microsoft Office Applications particularly Excel, Words and PowerPoint presentation.
