Job Description


Description You will be part of the Corporate Development team providing a suite of corporate services to ensure smooth running of the office. The team will work closely with other branches in KSL, engage funders and stakeholders across Government and non-Government agencies, and work closely with senior management to forecast and anticipate evolving needs of the organisation.

As an Assistant Manager/Manager overseeing Administration, you will report directly to the Director (Corporate Development) on the deliverables under your responsibilities. You will also engage various vendors and stakeholders to ensure the smooth running of the KSL office premises.

Key Responsibilities

  • To oversee facilities management in KSL\xe2\x80\x99s office premises.
  • To source for additional office space in the current phase of KSL\xe2\x80\x99s expansion, with the help of industry experts. This includes liaising directly with the landlord\xe2\x80\x99s administration teams to ensure that KSL\xe2\x80\x99s operational needs are met and improvements are made in a timely way.
  • To oversee any renovation works needed in the course of KSL\xe2\x80\x99s operations.
  • To conduct regular stock-take of office assets (including furniture, stationery, software and hardware) and ensure there is sufficient supply to meet KSL\xe2\x80\x99s operational needs.
  • To monitor and update on the booking of meeting rooms against the credits available.
  • To oversee the coordination of courier services, office mails and storage management for KSL.
  • To maintain and renew insurance policies (eg. fire and property insurance) relating to office facilities.
Competencies Functional/Technical Competencies
  • Diploma in Business Administration.
  • At least 8 years of working experience in similar role.
  • Track record in working on multiple projects concurrently.
  • Proficient in MS Word and Excel.

  • Excellent communication, project management and time management skills, with the ability to prioritise tasks.
  • Responsible, good team spirit, positive and with good learning ability.
  • Flexible and nimble towards organisational change and development.
