Job Description

1. The APM is responsible for the good maintenance of the property under his or her charge and for the security and proper operation of the property under his or her control.2. Ensure that building equipment are always in good working condition.3. The APM is responsible for the strict implementation of Property's Master Deed with Declaration of Restrictions, House Rules and Regulations, Policies and Procedures and its corresponding amendments and supplements.4. Manage the Billing and Collection staff, Housekeeping and Engineers in rendering prompt and efficient service to unit owners and tenants.5. The APM shall allocate and review work to his or her subordinates on a fair basis and will ensure that all such work is carried out in accordance with the Operations Manager and Director's instructions.6. The APM shall oversee the daily duties of all personnel under him and provide for appropriate training to staffs and new hires ensuring that their performance meets with the standard requirements.7. The APM shall maintain the overall discipline. All allegations of breaches of discipline shall be thoroughly and promptly investigated and if there is any prima facie case of a disciplinary offense on the part of his/her subordinate, he or she shall refer the matter to the Senior Operations Manager and to take disciplinary action against the defaulting party.8. The APM is also expected to anticipate daily management problems. If the problem cannot be solved, he or she will advise Property Manager and Associate Director at the earliest opportunity. A detailed written report is to be submitted if necessary.9. Monitor, control and organize all on site staff assigned to the property and to be responsible for the actions of such staff in addition to ensuring that staff rosters and all holidays are adequately covered.10. Liaise with the Property Engineer regularly to ensure sufficient service staff are maintained at all times with respect to the property.11. Regularly inspect the property on a daily basis.12. Perform regular coordination meetings to his/her staff.13. To monitor operation and facilitate the contract the contract renewals of all on service subcontractors. In particular, but not limited to, housekeeping, security, pest control, STP and lift contractors that any work contracted is completed as agreed and at the cost quoted13. Monitor and control all Purchase Order (PO), Work Orders (WO) and Requisition Forms (RF) generated in respect of the property.14. Maintain an accurate up-to-date flow of information to the Accounting Department in order to maintain an accurate and current Tenancy Schedule including a Diary of all pertinent action dates for each tenancy.15. those areas designated as "common areas" and those designated as "unit areas" in authorizing appropriate purchases relating to the property.16. Ensure the management team has attended to all resident complaints and requirements which are to be noted in the Residents' Complaint Register.17. Provide the Senior Property Manager and Senior Operations Manager with a monthly written report in a format to be advised.18. Ensure the renewal of government and other regulatory compliances and its requirements for the property.19. On call in times of calamities that may cause disruption in operation such as but not limited to power/water interruptions and typhoons.20. Ensure the performance of regular fire and earthquake evacuation drill.21. Help promote all services of Santos Knightfrank to all those whom you come in contact with.22. Review and make amendments to fit out guidelines and policies when necessary23. Meet with unit owners during tenant/fit-out orientation on building policies, house rules and fit out guidelines.24. Build relationship with the building occupants, tenants and local/government authorities.25. Ensure that there is quality control of on-site procedures, staff and service providers.26. Review/monitor tenant interior construction and includes the following: pre-construction documentation & pre-construction requirements27. Review/monitor the preparation and implementation of building projects.28. Monitoring the housekeeping of the semi-common areas, common areas, and exterior perimeter of the building29. Ensure scheduling of special cleaning projects30. Ensure implementation of the safety and security program for the building.31. Prepare memos and other kinds of correspondence.32. Attend meeting with superiors and service contractors.33. Entertain general inquiries from unit owners/tenants and their guests.34. Provide information service to unit owners/tenants and their guests.35. Reviews price quotes for the procurement of parts, services, and labor for projects.36. Develops and maintains positive relationships with clients. Responds to problems in a tactful and expedient manner. Attends client meetings for facilities matters.37. Prepares capital project budgets and operating budget reports. Prepares monthly operating budget variance reports.38. Manages various common area projects.39. Manage the housekeeping of the semi-common areas, common areas, and exterior perimeter of the building.40. Implement an effective pest control system for the building.41.
