Job Description


Summary The Assistant Supply Chain Manager is responsible for ensuring an efficient and accurate logistics operation and the supply chain are justified and aligned with the company goals. Focusing on data management and analysis, he/she is also responsible for handling routine and ad hoc tasks related to shipping and logistics.

Job Responsibilities

1. Support supply chain projects and ensure the execution with feedback for improving operation efficiency

  • Work on procurement needs of all value-added services to meet and fit the operation team
  • Draft the operation procedures or guidelines to ensure the implementation is done according to the standard and the company policy is communicated, e.g. end of season return procedures, labeling and family sale requirements to warehouse, etc.
  • Seek for cost control and improving operation efficiency
  • Review regularly with key parties (internal like retail operations and external 3PL) to consolidate feedback and resolve issues
2. Maintain data and create analysis to facilitate the logistics team in decision making process
  • Update actual logistics expenses and ensure accuracy
  • Analyze data and create reports for internal use, e.g. review on operating procedure (SOP), key performance indicator (KPI), contract negotiation with external vendors, etc.
  • Support the team in evaluating the result of the action plans and executing modifications
  • Assist in preparing budgets
  • Assist in tender process
3. Handle routine shipments and logistics related tasks
  • Monitor the condition of the shipment arrivals. Coordinate with 3PL and HQ in case of delay, discrepancy, missing and damaged cartons
  • Liaise with insurance company for insurance claim; Liaise with Headquarter for claim with manufacturer
  • Perform goods reception in GPV/SAP system.
  • Send receive summary to Retail and warehouse for Retail to prepare stock allocation
  • Send GPV item master regularly to warehouse for preparing labels
  • Maintain accurate daily transaction in GPV system
  • Prepare and follow up on license, CITES and non-CITES applications
  • Verify invoices from Headquarter
  • Verify the 3PL charges, e.g. freight charges, declaration fees and warehouse charges, etc.
4. Monitor order delivery and provide update information to management team
  • Prepare and update the delivery status on weekly basis for each season collection
  • Upon request of VM or Retail, monitor actual delivery for matching event or window planning
5. Perform other routine and ad hoc tasks assigned by the superior
  • Market intelligence: transport and logistics, customs regulatory compliance, etc.
  • Routine reports: supply chain cost, inbound shipment record, outbound shipment record, month end closing, etc.
  • Assist in cycle and annual stock count in warehouse and stores.
Requirements
  • University or tertiary educated in logistics, supply chain or business related discipline
  • Minimum 2 years’ relevant experienceand in fashion industry is a plus
  • Flexible and be able to handle multi-tasks
  • Time management and organizational skills
  • Proficient in retail system GPV/ SAP / Cegid etc.
  • Excellent in Microsoft Excel, Powerpoint and Word
