Business Operation Assistant

Job Description

We are looking for a detail-oriented and proactive Operations Assistant to support the daily execution of our semiconductor and server component trading business. This role ensures smooth coordination across sales, procurement, finance, and logistics, enabling the team to deliver fast, reliable, and transparent services to our B2B clients.





As part of a lean and growing team, the Operations Assistant will play a key role in keeping our processes accurate, efficient, and scalable.





Key Responsibilities



Order Management -

Record and update sales & purchase orders, monitor status, and ensure accurate data in ERP/CRM systems.


Logistics & Inventory Support -

Coordinate shipment schedules, liaise with suppliers and freight forwarders, and track inbound/outbound deliveries.


Financial Admin -

Prepare payment records, assist with client/supplier invoicing, and support monthly account reconciliation.


Data & Reporting -

Compile sales, margin, and inventory reports for management review


Document Control -

Maintain contracts, supplier agreements, invoices, and operational files in an organized, retrievable manner.


Team Coordination -

Serve as the bridge between sales, procurement, and finance to ensure smooth workflows.


Compliance Support -

Ensure supplier/customer vetting aligns with company compliance standards (e.g., export control, blacklists).


New hire preparation -

Alias with IT department to set up new email address, name card, door access, workstation





Other ad-hoc administrative matters

Requirements



Diploma/Degree in Business Administration, Supply Chain, or related fields (or equivalent work experience). 1-3 years of experience in operations, trading, logistics, or supply chain preferred. Proficient in MS Office; experience with ERP/CRM systems is a plus. Strong attention to detail and accuracy in data handling. Ability to prioritize tasks, work under tight deadlines, and adapt in a fast-paced environment. Good communication skills (English + Mandarin preferred for supplier/customer coordination). Self-motivated, reliable, and comfortable in a lean startup-style environment.
