JOB SCOPE

  • Provide professional secretarial services and meeting room facilities to both internal and external guests according to department's standards.
  • Provide copying, printing and other services offered at the Business Centre.
  • Perform administrative and secretarial roles, where required by Business Centre Assistant Manager.
  • Assist in the overall management of Centre’s operations including opening and closing procedures.
  • Equipped with knowledge on projector trouble shooting to assist with guest’s requirement.
  • Ensure EBMS updating are done according to the standards set.
  • Maintain an updated inventory of all items related to the Business Centre and ensure requisition of equipment, merchandises and supplies in a timely manner while observing standard operation procedures.
  • Provide coverage and serve as backup for department’s administrator.
  • Prepare quotation for meeting room enquiries.
  • Meeting room set-up and turnover of meeting rooms.
  • Update Business Centre’s daily and monthly revenue.
  • Always listen to customers’ feedback with due patience and diligence.
  • Handle food and beverage requirement as required by the conference room guests.
  • To be service ready at all times and able to handle the 4-booking space in the Business Centre and provide secretarial service to event guest, hotel guest, internal stakeholders and city guests.
  • Proper coding and issuance of concessionary carpark coupon to event attendees.
  • Assist with the laptop and audio setup as required by conference room guests.
  • To be cross trained at the Mail & Package Centre and to assist with Mail & Package Centre operations when needed.
  • Ensure to observe the requirement as listed in the Service Quality Review (SQR) checklist.
  • Ensure personal hygiene is observed as team member are maintaining the cleanliness of the utensils available in the conference rooms and micro pantry.
  • Ensure team members maintain the pantry supplies in the Business Centre Micro Pantry.

JOB REQUIREMENTS
  • O levels/Diploma or equivalent.
  • Experience in or related industry is an advantage.
  • Pleasant personality and able to communicate with guests.
  • Be willing to work any day of the week and any shift, long hours when necessary.
  • Able to multi-task and work in a fast-paced environment.
  • Able to work under minimal supervision.
  • Competent in Microsoft Office application.
  • A team player and customer service oriented.
  • Excellent verbal and written communication skills.
  • Possess excellent interpersonal, customer service and communication skills.
