Duties & Responsibilities

Secretarial Support:

  • Manage confidential documents for Directors and provide secretarial duties for Group Financial Controller, and VP, Group Risk, Compliance & Insurance.
  • Handle calendar, meeting scheduling, claims, and travel arrangements for Group Financial Controller and VP, Group Risk, Compliance & Insurance.
Office Administration:
  • Administer staff transfers, on-boarding, off-boarding, and various administrative tasks for Group Finance, Singapore Finance, and Group Risk, Compliance & Insurance.
  • Coordinate staff onboarding activities, including setting up business and corporate cards, travel profiles, and laptops.
  • Manage fixed assets, logistics, and certification of expense claims.
  • Organize office events, coordinate vendor interactions, and maintain office cleanliness.
  • Oversee pantry supplies, stationery, and office supplies, including vendor management.
  • Raising of procurement requests as needed.
  • Coordinate maintenance and renovation works
  • Any other tasks as required by HOD.
Treasury Support:
  • Update daily cash balances, assist with fixed deposits, and manage bank accounts and signatories.
  • Administer online banking systems and liaise with banks and internal stakeholders.
  • Support applications, queries, and reconciliation related to Bankers Guarantees and Corporate Credit Cards.
  • Act as a point of contact for Shared Service Centre with various banks for operational matters.
  • Assist in yearly statutory audit, ensuring timely completion of audit confirmation and reconciliation activities.
Vendor and Bank Interaction:
  • Interact with vendors for office supplies deliveries and coordinate with banks for various treasury-related tasks.
  • Support ad-hoc activities, including compiling records or data as needed.
Event Coordination and Communication:
  • Coordinate various events such as management workshops, Christmas, and CNY parties for Group Finance.
  • Serve as a point of contact for visitors, handle meeting room setups, and ensure smooth communication within the office.
Skills & Experience
  • 3-5 years of administrative support experience in finance or corporate settings, preferably with treasury support functions.
  • Strong understanding of office administration procedures and treasury operations.
  • Familiarity with financial terminology, basic accounting principles, online banking systems, and corporate credit card processes.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational skills, including multitasking and effective workload prioritization with a strong attention to detail and accuracy in handling financial and confidential information.
  • Demonstrates the ability to work independently and collaboratively within team settings, displaying a cooperative attitude and assisting colleagues willingly.
  • Maintains a professional demeanour with proficiency in written and verbal communication when interacting with internal and external stakeholders, adept at adapting to changing priorities, and efficiently handling multiple tasks.
  • Proactive approach to problem-solving, taking on new tasks, and maintaining strict confidentiality regarding sensitive information.
