Job Summary:

The Customer Care Administrator will be responsible for assigned regions\' customer order execution per contractual obligations. The role will also handle the company internal compliance requirements from factory PO till delivery and billing to customers.

In this Role, Your Responsibilities Will Be:

  • Shipping Schedule Management
  • Follow up with Internal and external suppliers for shipment expedite.
  • Update the latest promise date/reschedule date in system.
  • Provide periodical open order schedule dates update to customer.
  • Shipment Arrangement
  • Conduct ITC screening before shipment and to work with compliance team for hold release if any.
  • Ensure shipping marks, labels, packing methods are as per contract requirements.
  • Prepare shipping invoice for shipment arrangement.
  • Payment Collection/Negotiation
  • Handle LC draft review and ensure LC is issued timely before shipment.
  • Prepare proforma invoice to collect advance payment.
  • Coordinate with finance for any credit hold release.
  • Handle Invoicing within 3 working days from shipment date (Incoterms)
  • Ensure Zero (0) error in the shipping documentation i.e. commercial invoice, packing list, delivery note, if applicable for shipments to customers.
  • Handle submission of Tax Invoice and required documents to WCC within the same period. For re-export docs (sub-certs) - within 60 days from invoice date.
  • Ensure not more than one (1) Credit Note
  • Ensure Tax Invoice and supporting documents are forwarded to customer within 5 working days.
  • Documentation Submission/3rd Party Inspection Management
  • Work with Documentation Team to ensure documents are submitted/approved per contract requirements.
  • Work with customer and factory to arrange 3rd party inspection per schedule.
  • Process billing per contract
  • Backlog review and management
  • Monthly sales forecast and achieve target.
  • Manage and supervise project orders that do not have a PM assigned.
  • Embraces new process and automation initiatives implemented in Order Management department.
  • Raises outstanding issues to supervisors when regular follow-up with the concerned parties does not yield results.
  • Maintains all transaction records per department record keeping guidelines.

For This Role, You Will Need:
  • Degree/Diploma in Business Studies, Logistic, Engineering.
  • Must be meticulous, persistent and with the ability to work under pressure.
  • Good interpersonal and communication skills as well as customer service oriented
  • Knowledge in valves, SAP/Oracle will be an added advantage.
Preferred Qualifications that Set You Apart:
  • Have 1 to 2 years\' experience in similar or equivalent fields will be an advantage. Candidates without experience with keen learning attitude and proficiency are encouraged to apply.
  • Prior experience in Project Management would be an advantage for the role.
  • Self-motivated and target-oriented with learning agility.
