Responsibilities -Reviewing Users Required Specifications (URS)/ Requests for Quotations (RFQ) from Customer with Sales team, Product Specialists and Engineers, after which will prepare and submit formal quotations. -Handling customer's Purchase Orders and process the orders Need to check the details on PO before acknowledging it. -Coordinating the requests of documentation such as GA drawings, (FDS, DQ, IQ/OQ, P&ID, OMM etc.) to Production Team and will liaise with customer for submission and approval. -Once approved and signed by customer, CSIS will prepare work order form, ensure that GA drawings and documents are signed and correct, and then will submit to Production and Operations team to proceed the unit for manufacturing. -Liaise with Accounting department and prepare requests for new item codes/ spare parts for customized units using 'Request form'. - Co-ordinate order processing and shipment of goods (Liaise with factory to order the spare parts / Liaise with purchasers for those spare parts cannot be made by factory/ need to purchase from local/ overseas suppliers) - Liaise with factory/ purchasers to ensure timely delivery -Monitoring outstanding Service/Sales Order Confirmations and send updates to customers on the order details. For scheduling involve engineer, will pass to scheduler For delivery job, will liaise with Inside Sales. -Need to update the 'Tentative Shipment' and 'Expected Finishing Date' in Navision system -Liaise with accounting department to create new customer card/ payment term request from existing customer -Use 'Reddot' to generate service jobs/sales order after create service/sales orders - Consolidate respective service documents to pass to Accounts Department upon successful delivery/ service jobs -Manage and organize relevant documents/ forms/quotations in server -Generate open service/sales orders and maintain tracking of services/sales and delivery requests -Highlight and respond to customer's enquiries/ complaints or breakdown requests to Technical Support/ Schedulers, which includes checking of emails thoroughly. -For Sales orders which includes few years paid servicing, will need to raise service orders and chase schedulers to pre-plot it Assists to generate service jobs for T&C jobs for Inside Sales
