You\'ll be responsible for providing full administrative support to the team, including travel arrangements and hotel arrangements. Adecco is partnering with a MNC company in the marine construction industry and they are currently looking for a Department Secretary.
To manage general correspondences (email, letters, packages, calls etc)
To coordinate office activities and administrative operations on tender preparation and document control in projects
To manage agendas / visa / travel arrangements / appointments etc for the management, engineering team, counterparts from overseas branches;
To manage meeting rooms (schedule, seating, media facilities etc)
Inventory arrangements and control for pantry, office and cleaning supplies
To assist with the preparation for new staff\'s laptop, stationeries, access card issuance
Working with IT from NL on implementing, administering and maintaining the servers and storage infrastructure
To manage claim verification and submission of company expenses
To update office calendars for the management, project team
To perform data entry and support with Procurement and Operation Department
To administer purchase requisition, quotation and issuance of Purchase Orders
To manage offshore database for Engineering Department
Ad-hoc duties as assigned
Job Requirement
Min 3 years of experience in administration duties
Experienced in travel desk duties
Experienced working in a shared service environment, maintaining databases.
Able to multi-task, meticulous, committed and good team player
Excellent interpersonal and communication skills
Self-driven, meticulous, analytical, able to work under pressure
