Job Title: Event Coordinator Location: 601 Macpherson Road (Tai Seng MRT) Department: Event Management


Job Summary: The Event Coordinator is responsible for planning, organizing, and executing a wide range of events, ensuring they run smoothly and successfully. This role requires meticulous attention to detail, excellent communication skills, and a creative approach to create memorable experiences for our clients and attendees. The ideal candidate will have a passion for event planning, a knack for problem-solving, and the ability to manage multiple tasks under pressure.

Key Responsibilities:

  • Event Planning: Collaborate with clients or internal teams to understand event objectives, themes, and requirements. Create detailed event plans, timelines, and budgets.
  • Vendor Coordination: Source and liaise with vendors, suppliers, and contractors, negotiating contracts, and ensuring they meet the event\'s needs and budget.
  • Venue Selection: Research and recommend suitable venues for events, considering factors such as location, capacity, accessibility, and cost.
  • Logistics Management: Oversee event logistics, including setup, teardown, transportation, and equipment requirements.
  • Budget Management: Monitor and manage event budgets, tracking expenses, and seeking cost-effective solutions while maintaining high-quality standards.
  • Attendee Services: Coordinate registration, ticketing, and accommodations for attendees. Ensure a seamless and enjoyable experience for all participants.
  • Promotion and Marketing: Assist in event promotion, marketing, and social media outreach to maximize attendance and engagement.
  • On-site Management: Supervise on-site event operations, troubleshoot issues, and ensure that the event follows the planned schedule.
  • Post-Event Evaluation: Collect feedback, analyze event success, and prepare post-event reports to identify areas for improvement.
  • Compliance and Permits: Ensure that all necessary permits, licenses, and compliance requirements are met for each event.
  • Health and Safety: Implement health and safety protocols to ensure the well-being of all participants.
Qualifications:
  • Relevant qualification in event management, hospitality, marketing, or a related field (preferred).
  • Proven experience in event planning and coordination.
  • Excellent project management and organizational skills.
  • Strong negotiation and communication skills.
  • Proficiency in event management software and Microsoft Office suite.
  • Creative thinking and problem-solving abilities.
  • Ability to work under pressure and meet deadlines.
  • Flexibility to work irregular hours, including evenings and weekends.
  • Knowledge of the latest trends and technologies in event planning.
Working Conditions: The role may require irregular working hours, including evenings and weekends, to oversee events. This position may also involve occasional travel for site visits and client meetings.
