Focus: Managing Meetings, Manage Complex calendar, Booking, Travel arrangements and Coordination within the team
Office location: Singapore- Central
Working hours: Monday - Friday (Office Hours)
This qrole will start off as a contract position
The Talent
Min preferably 3-6 years of in EA role
Strong calendar management (managing multiple timezones) and travel management.
Prior experience and proven track record of managing priorities across multiple APAC time zones
Ability to take an interest in the business to support with business meetings to understand priorities
The JobResponsibilities
Calendar Management: Manage calendar, meeting preparation, and logistics based on knowledge of manager and business needs. Skillfully address meeting conflicts through delegation and prioritization, while keeping the manager informed. Navigate ambiguous situations to simplify decision-making processes. Attend key meetings and help manage action items where necessary.
Cross-Functional Collaboration and Communication: Support in building and leverage network across organizations to enable their team and leader\'s work. Serves as a liaison between executives and teams.
Team Management Support (Headcount Management, Recruitment, Onboarding/ Offboarding): Prepare Template and basic information for Monthly team cadence, Manage team distribution lists, birthday and Anniversaries, Organise virtual and in person events by engaging with Suppliers team members across the organisation.
Support hiring process Collaborate with Global Talent Acquisition (GTA) to facilitate internal and external recruitment efforts, and partner with hiring managers to ensure an effective process. Support intern and university recruitment for the broader organization (e.g., planning, placement). Provide seamless on-boarding experience to new hire.
Event Coordination and Logistics: Organize team morale events and broader division-wide morale activities.
Travel Management: Handle travel arrangements, including accommodation and transportation, for manager(s) and team. Build agenda and manage travel expectations to maximize travel productivity.
Expense Management: Expense report submission on travel or any other expenses of the manager in the expense management toll for reimbursement.
