Job Description


Summary This position is responsible for providing high-level administrative support to the Executive Office, and carry out tasks and requests as instructed. The Executive Administrator works with minimum supervision and handles confidential matters professionally. Job Responsibilities \xc2\xb7 Manage the Executive Office\xe2\x80\x99s diary to co-ordinate meetings/appointments, and to ensure smooth running of such meetings. \xc2\xb7 Screen/handle telephone calls, appointments, mails and emails and take action accordingly. \xc2\xb7 Take minutes at the Executive Committee Meeting. \xc2\xb7 Coordinate and communicate with various departments and all levels of staff on matters directed by the Executive Office. \xc2\xb7 Prepare and manage correspondences with internal and external parties for General Manager\xe2\x80\x99s signature. \xc2\xb7 Attend to requests from divisional, corporate or owners offices and facilitate it accordingly. \xc2\xb7 Attend to guests\xe2\x80\x99 special requests or complaints that are directed to the Executive Office. \xc2\xb7 Co-ordinate travel arrangements in a highly efficient manner and prepare detailed travel file accordingly. \xc2\xb7 Ensure approval forms are prepared for the General Manager for signature and approval of the Vice President, Operations, e.g. leave application forms, travel approval forms, expense claims reports, etc. \xc2\xb7 Maintain systematic up-to-date filing and tracing systems. \xc2\xb7 Prepare monthly financial data reports. \xc2\xb7 Maintain confidentiality of sensitive matters/issues. \xc2\xb7 Maintain a high level of professionalism and project a positive image of the organization. \xc2\xb7 Maintain complete knowledge of all F&B services, contents & preparation methods, outlets and hotel services/features. \xc2\xb7 Be fully conversant with hotel fire & life safety/emergency procedures. \xc2\xb7 Attend all briefings, meetings and trainings as assigned by management. \xc2\xb7 Perform other duties as directed by the General Manager. Qualifications / Requirements \xc2\xb7 Minimum 2 years of relevant experience in a similar capacity. \xc2\xb7 Good communication and customer contact skills. \xc2\xb7 Service oriented with an eye for details. \xc2\xb7 Ability to work effectively and contribute in a team. \xc2\xb7 Self-motivated and energetic. Job Types: Full-time, Permanent Salary: $3,500.00 - $4,200.00 per month Benefits:
