Duties and Responsibilities:
Preparing financial statements, reports, memos, invoices letters, and other documents.
Answering phones and routing calls to the correct person or taking messages.
Filing and retrieving corporate records, documents, and reports.
Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
Accurately recording minutes from meetings.
Greeting visitors and deciding if they should be able to meet with executives.
Liaising with internal office staff continuously to help meet company targets and objectives.
Liaising and communicating with external clients.
Using various software, including word processing, spreadsheets, databases, and presentation software.
Maintaining the company and director’s social media presence across all company social media platforms, including Facebook, LinkedIn,
Create a regular publishing schedule and implement it through an editorial calendar to plan, manage and promote internal and external company culture.
Reading and analyzing incoming memos, submissions, and distributing them as needed.
Making travel arrangements for executives.
Performing office duties that include ordering supplies and managing a records database.
Opening, sorting, and distributing incoming faxes, emails, and other correspondence.
Provide strong organisational administrative support across project management and problem solving skills.
Qualifications and Experience:
At least 5+ years’ experience in Admin/Executive Assistant
Associate or bachelor’s degree in business marketing
Must have experience in Calendar/Email Management, Handling calls
Must have excellent communication skills both written and verbal
Experience in Social Media Posting/Management
Proficient in using MS Office/Google Suite/ PowerPoint
Someone who has a sense of urgency and can work under pressure
High attention to details and accuracy
Able to work independently and as a part of team
Ability to manage time and prioritize workload according to business requirements
