Provide administrative support to the Health Promotion and Preventive Care (HPPC) Team, across its entire range of functions.
Arrange meetings, prepare agenda and provide other logistical support. Record minutes of department meetings promptly and accurately.
Maintain calendars of the Manager (HPPC) and Director (HPPC), as assigned. Arrange for meetings and book and prepare facilities for these meetings.
Facilitate the rectification of IT and technical problems by raising these issues promptly to relevant IT staff whenever these arise.
Arrange for dispatch of items to/fro clinics/other locations and HQ (in particular to Disease Days and Live Well Roadshows).
Collate accrual lists as requested by Finance.
Raise ePRs for required services and epayment after completion of jobs and/or services.
Ensure the safekeeping of department\'s assets eg. laptop, mobile phone, equipment and supplies and maintain an accurate inventory list of the assets.
Carry out any other duties, as assigned by Assistant Manage and Director from time to time.
Projects/Event Administrative
Annual Staff Health Screening:
Assist in registering staff during corporate health screening activities, when required.
Ensure all equipment for the event is delivered and set up timely and promptly.
Support data collation relating to health screening as directed by supervisors.
Ensure timely receipt of questionnaire/ reports from mobile health screening team, doctors and external providers.
Ensure accurate completion of health screening data entry within the stipulated timeline.
Compile personal reports for health screening participants and prepare organization report for management.
Ensure timely, smooth and efficient delivery of reports to staff and prepare post-health screening intervention call list for Healthbuzz leaders.
Prepare statistics/PowerPoint presentation, when required and attend any enquiry on results and rectify errors in data entry.
Provide guidance and support to new or temporary staff in department.
Patients Health Promotion Services, Activities and Events:
Provide administrative and logistical support for health promotion services
Maintain stock levels of envelopes, letterheads, brochures etc.
Prepare publicity materials and make purchases for health promotion displays, exhibits and event (as required)
Workplace Health Promotion (WHP):
Book venue for WHP activities in HQ and send reminder emails on WHP activities to HQ staff.
Collate WHP attendance sheets from Healthbuzz leaders and keep track of WHP activities of respective clinics.
Requirements
GCE \xe2\x80\x9cO\xe2\x80\x9d or \xe2\x80\x9cA\xe2\x80\x9d level or Secretarial Diploma / Diploma in Office Skills or in Marketing will be an advantage
2 years of working experience in administrative support to a department.
Proficient in Microsoft Word, Excel and PowerPoint.
Proficient in Microsoft Access will be an advantage.
