Job Description

The position is responsible in overseeing the day-to-day administrative support activities of the Executive Office headed by the Managing Director and provides general assistance and coordination for the business development and project management section.

  • ADMINISTRATIVE FUNCTIONS
1. Documents/Communication Management.Screen incoming calls of the Managing Director and responds to emails per priority.Opens, sorts, reviews and distributes incoming and outgoing documents to and from the Managing Director's Office and transmits documents correspondingly.Monitoring and file keeping of confidential files (Managers' 201 File).2. Meeting Administration.Schedules, plans, regular monthly meetings and other meetings as required by the Managing Director on-site or off-site and ensures that the rooms and equipment needed are available.Prepares meeting agenda to be discussed, sends corresponding notices to attendees and takes minutes of the meeting and prepares document for distribution to meeting members.Takes on a lead role in appointed work groups to schedule, monitor/track and follow up on pertinent actions items and deadlines, based on what was agreed in meetings and as recorded in the minutes and communicates statuses promptly.Assures confidentiality of important matters.3. Executive Scheduling. Manages and maintains the Managing Director's schedule/calendar.4. Manpower Monitoring. Prepares and monitors weekly Official Business plan itinerary of field officers.5. Travel Arrangement Management. Assists in corporate travel and accommodation reservation of staff and external visitors as necessary by ensuring approvals prior to preparation and completion of PR.Provides detailed itinerary for Managing Director and guests as required.
  • OTHER SPECIAL PROJECTS
Manages a variety of special projects and assignments for the Managing Director.REQUIRED JOB COMPETENCIES: A. Computer Applications proficiency specially on MS Word, MS Excel and MS PowerPointBASIC PERSONAL QUALIFICATIONS: A. Bachelor's degree of any business course.B. With 3 years working experience in the same work environment.C. Ability to work in a fast-paced environment, a good team player and dedicated.D. Basic background on other key areas of admin responsibilities (permits and licenses, property insurances) an advantage.Job Types: Full-time, PermanentSalary: Php20,000.00 - Php25,000.00 per monthBenefits:

Experience:
  • Executive Assistant: 2 years (Preferred)
