  • Sephora, a division of LVMH – Moët Hennessy Louis Vuitton global luxury leader, is a global leader in beauty retailing. It successfully operates more than two thousand points of sale across Americas, Europe, Middle East and Asia. Its aim is to animate the most loved beauty community in the world.
  • Sephora SEA’s retail activity spans over 8 countries (Singapore, Malaysia, Indonesia, Thailand, India, Australia, New Zealand and Korea) with 50+ stores and boasts some global flagships such as Ion in Singapore and Pitt Street in Sydney. Its digital activities span over eight countries (retail countries excluding India, plus Philippines). Sephora SEA has experienced rapid growth in the region with many more stores and countries to come.
  • Sephora Asia is looking to recruit an Executive Assistant to support the Regional Vice President of Human Resources (Southeast Asia).

Responsibilities
The role is pivotal in supporting the Regional HR Leadership in high-level administrative support, keeping the HR VP’s communications organized so that they can easily access the important information with ease. The role manages the HR VP’s daily calendar, including scheduling meetings, confirming appointments, writing itineraries and arranging for transportation. The role will be well-versed with company policies and best practices.
Other key responsibilities:
  • Scheduling of meetings/ appointments for Regional HR VP, working alongside teams to make arrangements across calendars.
  • Manage travel logistics and accommodation arrangements.
  • Manage expense submissions, process claims, and prepare weekly, monthly or quarterly reports when needed.
  • Format information for internal and external communication – memos, emails, presentations, reports if required.
  • Assist in office supplies / office move / general office management, liaising with suppliers
  • May be required to stand-in for the receptionist from time to time when receptionist goes on annual leave

Requirements:
  • Experience having covered senior stakeholder(s) – VP Level and above across SEA/ Europe a plus to help with scheduling
  • Extensive calendar management
  • Can manage travel arrangements, logistics, accommodation
  • Comfortable processing expenses claims, invoices, PO’s
  • Can organise meetings, catering, liaise with suppliers

Plus points:
  • Experience working with CORFEA (our accounts system)
  • Experience with office renovations/moves
