The world\'s second largest entertainment company is on the hunt for a highly-motivated and fun-loving Executive Assistant to Divisional Director (DD), Midway APAC based in Singapore.

This role serves as point of contact for the Division Director, internally and externally and manages the calendar and travel arrangement, administrative and office management support. This position will be based in the Singapore (Regional Office at Metropolis, Buona Vista).

KEY RESPONSBILITIES

  • Communications and Liaison Role: Serves as the primary point of contact for internal and external communications to the DD including those of a highly confidential or critical nature.
  • Executive Support Role: Drafts or writes memoranda, e-mails, and reports to support communications, planning, organizational and other initiatives. This includes but is not limited to calendar management, preparing meeting materials, tracking expenses and arranging travel itineraries and bookings for visiting executives.
  • Administrative Role: Completes a broad variety of administrative tasks that facilitate the DD\'s ability to effectively lead the organisation, including but not limited to: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties.
  • Operational Support: Provides general office management support for the Regional office eg booking of meeting rooms, liaison person with office vendor.
  • Flexibility: Willing to take on all levels of responsibility from clerical to data analysis and project management. Ability to develop and deliver presentations as well as set up for meetings and perform all levels of tasks. Requires ability to interpret information and present key ideas in a cohesive manner with little direction.

  • Strong ability to execute work with a diversity, equity, and inclusion lens. High degree of professionalism in dealing with diverse groups of people.
  • Significant prior executive support experience, including supporting a global clock.
  • Expert proficiency with Microsoft Office; ability to design and edit graphic presentations and materials in PowerPoint.
  • Ability to switch gears at a moment\'s notice. Thrive in an intense, get it done environment.
  • Excellent people skills, including strong interpersonal skills, the ability to build and maintain positive and supportive working relationships, and excellent customer service skills.
  • Must be able to maintain an approachable and friendly demeanour with competing priorities and demands.
  • Independent, flexible, adaptable, responsive, and able to work effectively with multiple priorities and diverse work styles.
  • Excellent judgment, discretion, and the ability to maintain confidentiality.
  • Ability to process sensitive and complex material, analyse and present information into a presentable and logical format
  • Effective organisational and problem-solving skills with the ability to set-up, automate and track contacts, data and information required.
  • Must be able to self-initiate activities, coordinate tasks, and exhibit strong project management and follow-up skills.
  • Requires independent work ethic and strong thinking skills.
  • Excellent verbal and written communication skills
