The Role Responsibilities
Job Summary
  • Calendar management for team: Manage and maintain the team of c.20 pax their calendar of activities, meetings and various events, schedule and reschedule meetings.
  • Arrange/schedule external and internal meetings, video conferences and conference calls for MD and EDs. Assist to send calendar Invites to attendees for meetings arranged.
  • Arrange travel for team of 5 pax, process travel visas and hotel arrangements, review itineraries with traveler to ensure flight, hotel and transport details are in order.
  • Ensure that all travel stays within the travel policy and approvals by the Line Manager or Cost Centre Manager.
  • To get traveler to send email to their Line Manager for approval of Travelling before issuance of tickets.
  • Consolidate and Submit Travel and Entertainment expense claims on behalf of the MD through the Bank’s online system.
  • For the team, to assist in checking their T&E claims after they have submitted in the system, to ensure that each receipt is compliant with the T&E policies and if G&E need to be logged in the system. Each staff must indicate in the receipts – reason for entertainment, cost by each pax and total cost is within policy otherwise must log in G&E with details.
  • Raise and monitor SRMs, EProcurement, Travel & Entertainment claims and Gift & Entertainment requests.
  • Process Invoices for Cabcharge, Subscriptions, visa documents and other claims for Team
  • Coordinate overall department cost EProcurement and SRMs and processing of all claims/invoices via EProcurement and T&E.
  • Organize conference calls and video conference calls, book meeting rooms and ensure appropriate attendees are invited to meetings using calendar invites.
  • Invoice in organising corporate events from sourcing of venues to communications to internal and external clients and finally ensuring the specific needs of all attendees are met.
  • Perform administrative duties, such as updating of Team’s contact list, Client contact list, booking of meeting facilities, arranging of courier services, printing and binding of meeting materials or pitch books.
  • Handle HR related matters such as settling new hires, getting team’s office equipment procurement and support and ensure adequate administrative coverage within the work teams, track team’s leave records and Leave approvals as well as track Team’s P3 are submitted on time.
  • Ensure team completes their mandatory e-Learning / training.
  • Ensure team always gets the latest updates on T&E and G&E Policies and ensure Team has strong awareness of and adherence to the Bank’s policies.
  • Maintain the Secured Shared Folders for CRE Team.
  • Develop an effective filing system within the team.
  • Keep an inventory list for the team.
  • Assistance with larger group initiatives, including moves, space planning, seating plans movement with the appropriate movers and team PAs.
  • Covering duties of PA of Global Head, CRE’s Office during her absence.
  • Work closely with other team/Segments PAs to ensure smooth running of all meetings.
  • Maintain Confidentiality always.
  • Assist and work with SCB Marketing team (where applicable) on organising marketing/client events for the team
  • Assist in any administrative duties as agreed and as appropriate
