Job Description


Johnson & Johnson Innovative Medicine Asia Pacific is recruiting for an Executive Assistant to the Chief Financial Officer (CFO), located in Singapore.As the Executive Assistant to the CFO for J&J Innovative Medicine Asia Pacific, you will play a pivotal role in ensuring the smooth operation of our executive office. You will be responsible for providing high-level administrative support to CFO as well as general administration support for Innovative Medicine APAC Regional Finance organization. This role requires exceptional organizational skills, a keen eye for detail, and the ability to maintain confidentiality while handling sensitive information.Key Responsibilities

  • Calendar Management: Maintain and coordinate the CFOs\' calendars, scheduling meetings, appointments, and travel arrangements. Ensure all commitments are met while optimizing their time.
  • Communication: Act as a primary point of contact for internal and external stakeholders, screen and direct incoming calls and emails, and draft or review correspondence on behalf of the executives.
  • Meeting Coordination: Arrange and prepare materials for executive meetings, conferences, and presentations. Attend meetings and take detailed notes for later distribution.
  • Travel Management: Plan and coordinate travel itineraries, including flights, accommodations, and ground transportation, ensuring cost-effective and efficient travel arrangements.
  • Document Management: Manage and organize digital and physical files, records, and documents for the executives. Maintain an efficient and well-organized filing system.
  • Expense Management: Handle expense reports and reimbursements, ensuring compliance with company policies and accurate record-keeping.
  • Event Planning Support: Assist in the preparation and coordination of the global executive visit, as well as coordinate meetings and related logistics.
  • Project Support: Provide support for special projects and initiatives as assigned by the CEO and CFO, including research, analysis, and follow-up.
  • Confidentiality: Maintain the highest level of confidentiality regarding all aspects of the executives\' work and activities.
  • Relationship Management: Build and maintain strong relationships with internal and external stakeholders, including clients, partners, and board members.
Qualifications
  • Proven experience as an executive assistant or senior administrative assistant, preferably supporting C-suite executives.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in MS Office and other relevant software.
  • Exceptional attention to detail and problem-solving abilities.
  • Ability to work independently and prioritize tasks effectively.
  • High level of professionalism, discretion, and integrity.
  • Bachelor\'s degree or equivalent experience preferred.
