Context of the role:
Contour is looking for a highly organized EA/Company Admin Manager with an ability to prioritize multiple tasks seamlessly with a strong attention to detail. As an ideal candidate, you will have proven experience in a fast-paced business working with C suite executives. Your ability to evaluate and prioritize complex scheduling should be a known quality, and you should have a natural desire to help executives stay organized and informed. Reporting directly to the COO, the role also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts, and oversees special projects.

Key Responsibilities:
Perform executive assistant functions:

  • Manage calendar and schedules for CEO, COO, and CPO
  • Arrange travel bookings, event schedules and other necessary tasks.
  • Arrange meetings with Board members, Shareholders and other 3rd parties as requested
Perform general administrative functions:
  • Manage and route incoming calls, mails and e-mails
  • Record minutes of meetings as and when required
  • Support C-Suite in collecting and managing data within the company.
Provide admin Support for the HR function:
  • Support the on/off-boarding of staff with the HR team
  • Liaise with benefits and insurance providers
  • Support the roll out and logistics of key company and team events
Facilities Management:
  • Management and purchasing of hardware for staff and the office
  • Main point of contact for procuring required office equipment & furnishings
  • Liaise with building and vendors to ensure smooth running of the office
  • With your passion & energy in supporting the team you will be an instrumental force in maintaining a delightful working environment including stocking the pantry items, organizing events and supporting staff as needed.

Key Skills Required:
  • Approximately 3-5 years experience in supporting a multi-functional team with a myriad of administrative requirements
  • Ideally exposure to working within a start-up/early stage company with expansion & growth plans
  • Prior experience as an EX to C Suite executives previously is a must for this role in order to achieve success
  • The successful candidate must demonstrate the ability to work in a pro-active, hands-on fashion and react to the needs of the team and the business as and when required
  • Calendar & travel management experience is required, ideally supporting multiple team members agenda at one time
  • Excellent communication skills and a true team player attitude is required with the ability to multi-task and prioritise business admin demands, a must
