Executive Pa & Office Manager (up To $8k)

Job Description


\xe2\x80\x8bOur client, a leading environmental services company, is currently seeking an Executive PA for the Group Chairman/Owner and other executives, to support them by proactively overseeing day-to-day matters relating to schedule management and administrative matters. You will need to be incredibly organised by planning ahead and coordinating internally and externally to ensure schedules, events and related tasks are managed as seamlessly and efficiently as possible across key stakeholders.

RESPONSIBILITIES

Daily diary, admin and personal support to the Chairman

Providing admin and coordination support to the household of the Chairman as required

Liaising closely with Chairman\'s PAs in Germany and Hong Kong to ensure all of the Chairman\'s arrangements are fully synchronised

Providing diary and admin support to other Executives

Managing HQ Office location including lease contract and liaison with hosts/landlords as needed

Managing mail, printing, signing of documents for Exec members

Handling and documentation of confidential and sensitive business files

Providing proactive support to visitors as needed

Arranging of meetings, scheduling of appointments and lunch/dinner sessions

Handling holistic travel planning and flight itineraries for Exec members

Acting as point of contact for business travel arrangement for other HQ staff as needed

Managing visa applications and work passes for Chairman, Chairman\'s family and Exec members

Documenting and generating reports as required

Undertaking any other ad-hoc duties as assigned by Exec Management

REQUIREMENTS

8 years+ of PA support to Executive Leader(s) and experience liaising very senior personnel

Meticulous with a strong attention to detail

Very proactive and naturally helpful towards key stakeholders

Extremely punctual and well organized / structured approach

Dedicated and flexible to support out of office hours as needed

Sharp mind, able to operate at pace and possesses strong sense of urgency

Proficient in Microsoft Office suite

Excellent interpersonal skills and customer-oriented mindset

Independent, analytical and able to handle competing deadlines

Ability to work under pressure

Excellent English communication skills both written and verbal

Office management experience advantageous

Preferably tertiary educated graduate
