With ongoing support and training from our team of professionals, you will continue to grow in your role.Qualifications:The Senior Executive / Executive, Quality Management, plays a crucial role in supporting the Manager, Quality Management, to achieve the organisation\'s Quality and Safety goals across Senior Day Care and Home Care services. The role involves managing administrative tasks, assisting in the implementation of quality improvement initiatives, conducting audits, and collaborating with clinical and operational teams to ensure the highest standards of care are maintained. The ideal candidate is detail-oriented, proactive, and passionate about promoting a culture of continuous improvement and safety.Quality and Safety Administration:

  • Assist the Manager, Quality Management in coordinating and implementing quality and safety initiatives across Senior Day Care and Home Care settings.
  • Support the development and execution of training programs aimed at improving staff competencies in quality and safety practices.
  • Monitor and evaluate the effectiveness of quality and safety programs, providing recommendations for enhancements.
Document Management:
  • Maintain and update organisational documents, including policies, procedures, and protocols, ensuring they reflect the latest regulatory standards and best practices.
  • Facilitate the review and approval process for document revisions and ensure timely dissemination to relevant stakeholders.
  • Maintain a comprehensive document control system that ensures accessibility and version control.
Collaboration with Clinical and Operations Teams:
  • Work closely with clinical and operations teams to design and refine workflows and processes that enhance service delivery and client/patient safety.
  • Provide administrative support in the creation and implementation of new procedures that align with quality improvement goals.
  • Act as a liaison between Quality Management and other departments to ensure seamless integration of quality initiatives.
Incident and Audit Management:
  • Manage incidents reported within Senior Day Care and Home Care services, ensuring timely investigation, documentation, and resolution in accordance with established protocols.
  • Analyse trends in incident reports and audit findings to identify areas for improvement and potential risks.
  • Conduct audits of Senior Day Care and Home Care services to ensure compliance with quality and safety standards and identify opportunities for improvement.
  • Prepare and present detailed reports to the Manager, Quality Management, highlighting key findings and recommending corrective actions.
  • Participate in incident investigations and root cause analyses, contributing to the development of effective solutions.
  • Develop and implement audit schedules, ensuring that audits are conducted regularly and consistently across all service areas.
Research and Innovation:
  • Conduct research on industry best practices, emerging trends, and innovations in quality management, particularly in the context of senior care.
  • Propose and support the integration of new practices that could enhance the quality and safety of services.
  • Monitor regulatory changes and industry developments, ensuring the organisation\'s policies and practices remain compliant and up-to-date.
Communication and Events Support:
  • Develop and disseminate communication materials related to quality and safety initiatives, ensuring that messages are clear, consistent, and aligned with organisational goals.
  • Assist in organising and executing quality and safety events, such as workshops, seminars, and recognition programs.
  • Coordinate regular meetings and forums to discuss quality and safety performance, share best practices, and address challenges.
Continuous Improvement and Learning:
  • Promote a culture of continuous learning and improvement by actively engaging in quality improvement projects and sharing knowledge with team members.
  • Support the monitoring of performance indicators and contribute to the development of strategies to enhance service quality.
  • Facilitate workshops and training sessions to build staff capacity in quality improvement methodologies and tools.
Secretariat Support:Quality Assurance Committee (QAC)
  • Provide secretarial support to the Quality Assurance Committee (QAC), including preparing agendas, coordinating meetings, taking minutes, and following up on action items.
  • Assist the Manager, Quality Management in preparing reports and presentations for the QAC, ensuring all materials are accurate and submitted on time.
  • Coordinate communication between the QAC and other departments where applicable, ensuring that decisions and recommendations are effectively implemented.
Quality Safety Leadership Walks (QSLW)
  • Coordinate and participate in QSLW across Senior Day Care and Home Care facilities to engage with staff, identify safety concerns, and reinforce the importance of quality and safety.
  • Document findings from QSLWs and collaborate with the Manager, Quality Management to develop action plans addressing any identified issues.
  • Monitor the implementation of action plans and report on progress to senior leadership.
Data Management and Analysis:
  • Collect, manage, and analyze data related to quality and safety performance, including incident reports, audit results, and feedback from staff and clients.
  • Utilise data analytics to identify trends, measure the impact of quality initiatives, and support data-driven decision-making.
  • Develop dashboards and reports that provide insights into key performance indicators (KPIs) and other metrics.
Other Duties:
  • Perform any additional duties as assigned by the Manager, Quality Management, including participation in cross-departmental projects and special assignments as needed.
