The key responsibilities include:

Facilities Management

  • Maintenance of the office to ensure all areas are in clean, neat, and ready-for-use condition at all times.
  • Conduct regular inspections and routine checks on office facilities such as equipment and furniture.
  • Report and coordinate repairs or spare part replacements with vendors as required.
  • Oversee configuration of common spaces such as meeting rooms, pantries, and utility areas and coordinate housekeeping, landscaping, and pest control services.
  • Manage work orders.
  • Request for quotations and perform cost comparisons analysis.
  • Assist vendor on ad-hoc basis if work order is required to be done on day on the weekend.
  • Liaise with Building Management on various matters including but not limited to, annual power shutdowns, fire drills, maintenance of office facilities, and season parking registrations.
  • Point of contact to receive feedback on reports for building faults and to support service delivery failure and service requests.
  • Office access control security system management.
  • To issue, collect returns, or coordinate replacements of staff access cards.
  • Register/record visitor and issue/return of visitor access cards.
  • Timely activation and de-activation of access cards.
  • Management of monthly client purchase orders and payments.
  • Provide support in events or meetings in the office premise, e.g., food catering, arrangement of furniture, and Outlook calendar room bookings.
  • Assist to raise the Purchase Requisitions and Purchase Orders via FWO system for Facilities Management related purchases.
  • Handle of phone enquiries from client employees
  • Any other duties as assigned.
JLL Admin and Processes
  • Establish escalation chart with appropriate contact numbers outside defined core working hours.
  • Evaluate, prepare, and submit statistical work order analysis monthly reporting based on defined FM services categories as defined by client.
  • Prepare the monthly JLL financial report
  • Log-in incident report via JLL CMO
  • Prepare all supporting documents and submit to JLL JDE for processing.
The responsibilities related to support to other client departments include:

Finance Admin
  • Mention duties under GroupM Finance required
Office Safety
  • Take on the role of the Emergency Facilitator in the Emergency Response Team to facilitate evacuation during a fire emergency or a fire drill.
