Job Summary This position is responsible for supporting the facilities, administrations, and corporate service functions of the Singapore office to ensure an efficient and smooth-running of the office that projects a capable and confident image to internal and external customers alike. You will create an impact by anticipating the needs of the team and proactively addressing issues. You are a team player, and you get things done with speed and agility.
How You Will Help Us Succeed

Ensure office and visitor safety and security procedures are followed, and conduct office tour as needed
Overall housekeeping, pest control, landscape maintenance - ensure office premises are well maintained in \xe2\x80\x98as new\xe2\x80\x99 condition; ensuring cleanliness, good hygiene and tidiness are always maintained in the reception, meeting rooms, pantry, and other common areas
Plan and manage all preventive and corrective maintenance of the office facilities and services
Support all facilities, sustainability and EHS initiatives, activities i.e., Annual Building Power Shutdown, Fire Drills, Earth Hour, Green Day, etc.
Ensures that all consumables at pantry, meeting rooms, first aid boxes etc. are checked and stocked up.
Coordinate office marketing materials such as business cards, envelops, letterhead, and corporate souvenirs
Manage pantry, office supplies, furniture, machines, building maintenance services and repairs requests
Ensure all other office facilities, equipment such as the defibrillator, fire extinguishers, coffee machines, emergency lights, photocopiers etc. are proactively serviced
Attendance and management of facilities\xe2\x80\x99 incidents including issue assessment and timely reporting Ability to handle a wide range of office facilities and administrative support related tasks
Review vendors\xe2\x80\x99 method statements and risk assessments of any works taking place in the office
Liaison with contractors and building management for office building and maintenance related matters
Provide support and assistance as needed when there are weekend works on office maintenance such as renovation and repair work etc.
Support catering arrangements for office functions
Support office engagement activities and CSR events
Provide input and data for Singapore facilities\xe2\x80\x99 budget
Raise Purchase Requisitions, orders and seek approval and clear the Web cycles for relevant invoices
Support the administering of Singapore office corporate cards
Cover reception duties as needed
Participate and support ad-hoc projects and /or other matters as assigned
What You Will Bring to Us
Diploma in Facilities Management, Business Administration or 5 years of relevant facilities management and office administration experience in a multicultural environment
Excellent interpersonal skills - builds collaborative relationships with key department leads, ability to interface with stakeholders professionally and thrives in a diverse office environment
