Job Description

The Bookkeeper/Administrative Specialist is responsible for bookkeeping tasks involving accounts payable, receivable, journals, and general ledger items. It also includes reviewing and reconciling accounts, doing the payroll, processing payments to external partners, coordinating with the External Auditor, and maintaining updated records of invoices and receipts. The administrative duties involve basic clerical support, involving government agencies. Ultimately, you will ensure we process all financial transactions accurately and on time.Reports to: PresidentResponsibilities:

  • Handles all aspects of accounts payable (A/P) and receivables (A/R)
  • Handles Quickbook entries matching all the transactions.
  • Handles some aspects of the general ledger (G/L)
  • Verifies and compiles all bank transactions.
  • Enters in all daily income and expense reports no less than on a weekly basis.
  • Files invoices with processed checks to maintain an orderly accounting filing system.
  • Provide financial reports as requested by the external Accountants and the President.
  • Assists with the annual audit.
  • Act as an Executive Assistant.
  • Assists with answering incoming administration and development calls.
  • Purchase supplies and equipment as authorized by management and monitor office supply levels and reorder as necessary.
  • Basic clerical support.
  • Drafts correspondence as requested.
  • Other duties as required by the President.
Experience & Skills:
  • Associate's or Bachelor's degree in Accounting is preferred
  • Must be able to work effectively and independently in a very fast-paced, team-oriented environment.
  • Must be knowledgeable in Quickbooks.
  • Must have solid working experience.
  • Must know how to do payroll.
  • Excellent communication skills, both oral and written.
  • Strong organization skills and very detail-oriented.
  • Proficiency in or ability to learn the various software programs.
  • Expertise in Excel/Google Sheet is a must.
  • Able to drive (with a valid driver's license) and having a vehicle is a plus.
