PURPOSE OF JOB/POSITION The GEM E&C Specialist is responsible for the operations of Takeda\'s E&C Program in GEM.
  • Support the coordination of the overall E&C Program for GEM HQ in close collaboration with the GEM E&C LT
  • Provide operational support to GEM E&C LT
  • Responsible for the Monitoring Program in GEM HQ
  • Support the execution of E&C projects across GEM
  • Support in the follow up of action plans from corporate audits, monitoring, among others.
  • Support the development of trackers and dashboards that allow informed decisions and actions

Governance
  • Provides operational support to the GEM Risk Ethics and Compliance Committee (GEM RECC) and relevant Sub-committees, including preparation of agendas, summaries, reports, and their respective records management and retention
  • Provides operational support to GEM E&C LT to enable the effective implementation of the E&C Program across GEM
Risk Assessment
  • As part of the annual Enterprise Risk Assessment (ERA) and in partnership with the GEM Risk Coordinator, provides operational support for the identification, assessment, prioritization and mitigation of E&C risks for GEM HQ
Policies & Procedures
  • Provides operational support to the the implementation of E&C Policies, procedures, guidelines and controls
  • Updates the GEM E&C Policies and Procedures central repository
Learning & Engagement
  • Contributes to the GEM E&C learning program developing ad hoc materials
  • Supports the customization of global learning and engagements materials for GEM
  • Updates analytics to follow up learning completion metrics
  • Supports the design and implementation of GEM\xe2\x80\x99s yearly E&C engagement/communication plan
  • Operationalizes E&C communication plans/campaigns
Investigations
  • Contributes to the creation of an environment where colleagues feel comfortable speaking \xe2\x80\x93up and leaders engage in active listening
Monitoring
  • Supports the execution of the GEM HQ yearly monitoring program through:
  • Sampling and testing of activities, identify findings and perform root cause analysis in collaboration with activity owners
  • Discussing monitoring results with GEM RECC, including remediation actions and recurrent issues
  • Reporting monitoring results to global monitoring core team
Corrective Actions
  • Supports the identification and proposal of potential corrective actions for issues identified in processes under the scope of the position
  • Oversees implementation of agreed corrective actions to evaluate their effectiveness
  • Escalates if gaps or misconduct recur
Continuous Improvement
  • Supports the continuous improvement of the GEM E&C Program, in response to emerging risks, lessons learned, global changes and periodic E&C program assessments, as appropriate
  • Co-designs analytics to help identify improvement needs and solutions
  • Supports the project management of GEM E&C program enhancements
Critical functional knowledge
  • Bachelor\xe2\x80\x99s degree

  • Experience in the healthcare or pharmaceutical sectors desired

  • Experience in operational support of E&C programs desired

  • Demonstrated operations and project management skills

  • Developed communication skills (verbal and written)

  • Proficient in managing and creating sharepoints and other internal portals/platforms, design dashboards and reports

  • High proficiency in MS Office tools, with the ability to derive insights from data

  • Ability to work and engage effectively across regions, timezones and virtual environments

  • Well organized and able to prioritize and manage changing workload and meet deadlines
