Global Workplace Services, APAC Senior Program Manager Responsible for creating and managing a general services Program Management support function for APAC outsource Real Estate and Construction Project Managers. In conjunction with Director, Global Real Estate (GRE) APAC, to establish standard processes and best practices for project delivery and data collection for office fit-outs and relocations, ensuring parity with Expedia, Group offices globally. What you will do:

  • Real Estate and Construction Services: While reporting to the Director, Global Real Estate (APAC) and managing all assigned Project Managers, the Senior Program Manager will:
    • Oversee construction projects, participate in the selection of project teams, and provide assistance in the creation of capital budgets for Project Expenditure Requests (PER).
    • Manage outsourced project service providers.
    • Manage the stakeholder \xe2\x80\x9cplanning\xe2\x80\x9d process.
    • Insure all capital projects are completed within the target schedule and approved budget.
    • Oversee management of facilities space inventories and furnishings for all Real Estate and Construction Projects.
    • Facilitate planning for best utilization of space and resources for new projects.
    • Facilitate re-organizing of current premises.
    • Facilitate investigation of availability and suitability of options for new premises.
    • Facilitate engagement and coordination with IT and key business groups as required for all projects and site work.
    • Assist in the creation, tracking, balancing and management of the annual Capital Plan and processes.
    • Identify and provide recommendations to reduce project costs.
  • Project Management Office: The Senior Program Manager will be required to establish a GRE APAC Project Management Office (PMO), which will require the Senior Program Manager to:
    • Identify and provide recommendations to streamline & reduce costs of current Program and Project Management processes of GRE APAC.
    • Identify opportunities to maximize the scope of services provided by local outsourced Real Estate & Construction Project Managers operating under a Master Service Agreement (MSA) fixed price remit.
    • Identify requirements for new Agile \xe2\x80\x9creal time\xe2\x80\x9d Project & Program methodologies, tools and processes for Expedia APAC outsource Real Estate and Construction Project Managers as well as GRE Global Management.
    • Establish a GRE APAC Project Management Office (PMO) that captures real time data and Key Performance Indicators (KPIs) from all APAC Real Estate and Construction Project Teams and to allow for the automatic \xe2\x80\x9croll-up\xe2\x80\x9d of this data to a web browser based \xe2\x80\x9cDashboard\xe2\x80\x9d made available to Project Team members & GRE Management on a 24/7 basis.
    • Identify requirements and roll out of an automated real-time Project Issue Escalation Service that will facilitate the raising and immediate resolution of\xe2\x80\x9cblocker\xe2\x80\x9d issues to Project Teams & GRE Management & stakeholders.
    • Design and rollout an automated \xe2\x80\x9creal time\xe2\x80\x9d project budget cash flow drawdown and invoice approval & reconciliation process with semi-automated integration into the Expedia Accounts Payable (AP) Purchase Order (PO) and Invoice Coding systems and processes.
    • Prior to the commencement of projects, be responsible for the writing and tendering of RFPs for local outsourced Project Mangers as well as the appointment of local outsourced Project Managers for all GRE APAC Real Estate and Construction projects.
  • Managing APAC Project Managers: The Senior Program Manager will be responsible for managing & mentoring APAC outsource Real Estate Project Managers in project delivery of office fit-outs and relocations to ensure that they:
    • Utilize new Expedia APAC PMO methodologies, tools and processes that allow them to capture detailed Project Scope, Costs & Timings with input and agreement of the Project Team and Service Providers, including, but not limited to: Expedia Project & Program Stakeholders, Architects, Quantity Surveyors, Space Planners, Landlords, Lease Administrators, Lawyers, General Contractors, Facilities Managers, Local Government, IT Departments, Utility Companies, Telephone & Internet Line Providers, Internet Service Providers, Real Estate Agents, Furniture Suppliers, Moving Companies.
    • Facilitate regular Project Scope \'Prioritization\' workshops with Project Teams.
    • Initiate Project Change Orders with a real time gated approval / rejection workflow.
    • Distribution of approved changes to Project scope, costs & timings to the project team in real time.
    • Writing & tendering of RFPs for Architects, Quantity Surveyors, General Contractors, and other consultants; including coordination of the selection & appointment process.
    • Coordination of Project hand-over process.
    • Coordination of Snag lists and \xe2\x80\x9cDay Two Works\xe2\x80\x9d with all relevant parties.
    • Oversight of Project Warrantee process with all relevant parties.
    • Facilitation of project \xe2\x80\x9cWash-Up\xe2\x80\x9d retrospectives with all relevant parties.
  • Procurement Services: The Senior Program Manager will assist the Director GRE APAC, as well as assigned Project Managers to:
    • Work with Expedia Management to determine requirements and budgets for the key products and services necessary for the effective operation of all GRE APAC Projects, and manage all facets of the acquisition of these products and services.
    • Coordinate with the corporate procurement managers to leverage existing contracts for professional services.
    • Direct new vendor selections in conjunction with Procurement; assist in the negotiation of contract price, terms & performance requirements with these vendors.
    • Oversee the management of real estate vendor relationships. Manage all performance-related issues with the vendor base.
    • Establish processes and manage teams for project related BAU tasks such as IMACs (install/moves/adds/changes), and office move logistics.
    • Conduct quarterly business reviews with key project vendors.
Who you are:
  • Bachelor\xe2\x80\x99s Degree in a related field required
  • Senior or executive leadership experience managing medium-to-large scale complex business operations involving real estate, procurement and management functions.
  • 10+ years overall Program Management experience in a related field such as Real Estate & Construction, Technology, Operations, Financial Services, Management Consultancy, Procurement & Supply Base Management.
  • Program & Project Management
  • Change Management & Business Analyst experience required.
  • Experience working in an international business setting, involving customers, vendors and employees in a global environment.
  • Ability to work on complex assignments requiring independent action and a high degree of initiative to resolve issues:
  • Strong process orientation.
  • Project management and proven program implementation experience.
  • Excellent analytical, organizational, communication and interpersonal skills.
  • Proven success in a fast-paced, changing environment.
  • Proficiency in multiple languages a plus.
  • Proficiency in Jira, MS Project, Excel, Word, PowerPoint, required.
  • This position will involve international travel.
