Job Description

Job Purpose To provide Human Resources and administration support to the Human Resource Department and provide quality customer service to both internal and external clients. Responsibilities Recruitment

  • To assist in recruitment activities covering job posting, pre-screening of candidates, phone interviews, shortlisting, coordinating of interviews (incl sending email invite), verification of documents of candidates, preparation of documents for interviewers, performing reference check, preparation of pre-employment medical screening, sending rejection emails.
  • To prepare new hire onboarding pack, booking of rooms for induction and send out the evaluation for new hires.
  • To arrange, coordinate and send invites for new hire induction schedule.
  • To participate and assist in recruitment strategy efforts such as career fairs etc.
  • To update hiring tracking, recruitment and vacancy tracking reports on a daily basis.
  • To track and update the evaluation for new hires on a monthly basis.
  • To administer voluntary and involuntary termination processes.
  • To track and update voluntary and involuntary reports on a monthly basis.
Training
  • To administer, update and maintain training and development records in the system for all employees.
  • To coordinate all in-house training programmes, booking of rooms, and preparation of attendance sheets.
  • To provide training administration services which include documentation verification, communicating and disseminating information to employees, course application, liaising with course providers, submitting training grants, sending out and collating training evaluations.)
  • To support data collection, preparing training evaluations report and analysis for management review.
  • To provide coordination support and functions on assignment projects, which include email follow-up, setting up of venue for training workshops and coordination of programmes and services related to clients\xe2\x80\x99 interventions.
  • To update and track Training Budget.
Admin
  • To assist in employee engagement activities and health and wellbeing programmes in the workplace.
  • To update and submit other reports when necessary.
  • To prepare PowerPoint presentation slides for reporting.
  • To write minutes when necessary.
  • To assist and administer the performance management review process.
  • To assist and track renewals of contracts and performance appraisals.
  • To assist in corporate governance, audits, ensuring compliance and proper documentation.
  • To support and assist in generating attendance sheets for various meetings and tracking staff attendance.
  • To support employee welfare such as purchasing baby hampers, wreaths etc.
  • To support in purchasing and/ or requisition of items for the HR department.
  • To assist and provide administrative support to the Human Resource Manager and/ or the Directors.
  • To participate in meetings, committees, and taskforce when necessary.
  • To support and participate in projects when necessary.
  • Any other assigned duties.
Requirements
  • Minimum Diploma in Human Resource Management or equivalent.
  • Prefer 1 year of relevant working experience*.
  • Good understanding of the Employment Act
  • Good in record keeping (filing/documentation etc.).
  • Proficient in Microsoft Outlook, Excel, Word, PowerPoint.
  • Eye for detail
  • Good interpersonal and communication skills.
  • Good initiative and able to work in a team.
  • Customer service oriented
  • Ability to work fast and handle pressure well.
*Candidates with more years of relevant experience may be considered for the role of Senior HR Officer or HR Executive if deemed appropriate and suitable for the role. Job Types: Full-time, Permanent, Contract
