Job Purpose:



We are seeking a proactive

Internal Sales & Project Coordinator

to support our sales and project teams. This role involves handling internal sales activities, tender submissions, client follow-ups, and project administration to ensure smooth operations from enquiry to project completion.


Key Responsibilities:



Sales & Quotation Support:


Prepare and submit quotations and tender documents accurately and on time.


Follow up with clients on quotation status and tender results.


Coordinate with project and technical teams to confirm scope and costing.

Project Administration:


Manage project documents: purchase orders (PO), delivery orders (DO), invoices, and progress claims.


Track DO issued, signed DO returned, and invoice issued status.


Update project progress summary and claim dashboard.


Liaise with site supervisors or workers for signed DO collection.

Coordination Across Departments:


Work closely with Accounts for invoice preparation and follow-up on payment.


Coordinate with Operations for job scheduling after PO received.


Prepare supporting documents for management review or monthly reports.

Filing & Reporting:


Maintain proper record of all quotations, DOs, and invoices (soft & hard copies).


Generate weekly and monthly status reports for management.


Update any overdue DO or pending invoice list for review.

Requirements:



Diploma or Nitec in Business Administration, Engineering, or related field. 2-4 years' experience in construction, engineering, interior, or related environment preferred. Strong knowledge of Microsoft Excel, Word, and email communication. Excellent organizational, coordination, and communication skills. Able to work independently, handle multiple tasks, and meet tight deadlines. Detail-oriented, proactive, responsible, and a team player.
