Junior Office Administrator, Processes TeamSalary Range: $2500-$3000Our organization is looking for an organized, outgoing Junior Office Administrator within the Investor Services Process Department. In this position, you will assist with a variety of clerical and administrative duties of different processes. These tasks include liaison with multiple internal and external stakeholder, client's correspondence, answering phones, taking messages, managing email and mail correspondence, and calendaring. You may also assist with invoicing, updating client files, churning reports and hardcopy coms. Since you will be the taking feedback from clients through email, we are looking for an individual who are independent, high intellectual professional with ability to response email with great confidence and timely manner.Role & Responsibilities: Handle day-to-day inbound emails and calls from duties calmly Manage mail correspondence: receive, sort, distribute and pack mail Tracking data and information into CRM Drafting/Filling Forms and Contracts Taking Minutes-of-Meeting in meeting Client Facing - Meeting clients, Answer phones and take messages Serve visitors by greeting, welcoming, and directing them appropriately Perform administrative duties such as sorting of documents, filing, data entry, binding, and scanning, filing etc. Arranging couriers Attend to KYC Matters, Filing of Notarization/affidavit Recording and Refining Processes into Knowledge Article Creating, Investigating, and closing Cases within CRM Act as a central liaison with Relationship Managers and Clients Ad hoc job duties as assignedRequirements: A Diploma in Business Studies/Para-legal/Management or a relevant discipline. Relevant work experience, in an admin, para-legal and or receptionist role. Proficiency in English - ability to communicate in verbal and written form very well is a must Attention to detail, ability to handle stress, problem solving ability, independent and highly organize Analytical, Deadline Sensitive, and good on follow-up Proficiency in Mandarin and Indonesian language is desirable but not required Computer proficiency - Microsoft Office, CRM Basic math and Business Writing skills Good Communication and Interpersonal skills Meticulous attention to detail A passion to learn and be involved Team Player qualities Commence (immediate vacancy)We offer: 5-day work week, 9am to 6pm Medical & Hospitalization Leave Annual leave of 14 days Birthday leave & birthday vouchers Flexi benefits claims Quarterly & Annual Bonus (subject to company sales performance) Working Location: Orchard Road (Wheelock Place)
