Job Description


We are looking for a Lead Client Service Representative to join our Portfolio Administration / Global Client Service Support Asia team in Singapore. The position will be responsible for for coordinating Institutional Separate Accounts Events such as account openings, closures, transfers in kind, etc. and performing multiple client specific, external facing tasks and delivering service to a variety of external/internal clients and business partners including external Client, Administrator, Custodian, Portfolio Management , Sales/Marketing, Trading, Performance and Client Services

What are the ongoing responsibilities of this position?

Events (Portfolio Administration)

  • Actively plan, lead and participate in PA Events, including review of Investment Management Agreements and other documentations as needed
  • Provide guidance for less experienced specialists and make critical judgements and decisions that shape the operational support required for new institutional accounts, account set up and other parts of the event as defined by Investment Management Agreement documents and onboarding discussions. Events include but are not limited to account openings, account closing, custodian transfer/mergers, in-kind transfers and other account events related activities
  • Ensure system/account maintenance and validations for new set ups/changes resulting from Events
  • Review and prepare documents related to on-boarding activities including active participation in Account Event meetings whilst managing professional communication with internal and external parties
  • Partner with Internal/External Clients, FTS Business Units, Performance and Corporate Accounts to ensure Portfolio Administration is ready for new business
  • Provide account handover to internal teams for account handover to support onboarding/offboarding of Client accounts
  • Gain knowledge and understanding of new accounts operational requirements
  • Manages communication with appropriate stakeholders
Events (Global Client Service Support Asia)
  • Actively plan, lead and participate in account events on behalf of Global Client Service Support Asia, including review of Investment Management Agreements and other documentations as needed
  • Put together reporting matrix and obtain signoffs from internal teams as defined by Investment Management Agreement documents and onboarding discussions
  • Understand end to end data sources for Client reports, partner with Internal/External Clients, FTS Business Units, Performance, Risk, Compliance, Commentary,..etc teams to put together reporting support model and allocation of assigned owners/teams
  • Act as go-to contact for Distribution/Client Service for onboarding / events related to client reporting requests and queries
  • Involved in providing solutions on the compilation and creation of new and complex client reports if needed
Others
  • Contribute to continuous improvement for the department in areas such as faster turnaround query resolution time, streamlined workflows and processes, quality of responses to Clients/business partners,.etc.
  • Be the escalation point of contact for PA Specialists to provide guidance and provide support on complex onboardings / events
  • Participate in Business Continuity testing, system user enhancement testing, system migrations and any other projects as assigned by management
  • Assist in staff cross-training and procedure manuals
  • Partners with internal and external clients and/or service providers on business challenges and solutions
  • Support Portfolio Administration & Global Client Service Support Asia day to day activities where required
What qualifications, skills and experience would help someone to be successful?
  • Bachelor\xe2\x80\x99s Degree preferred in Business, Accounting, Finance or other equivalent qualifications
  • Minimum 7 years of investment management industry experience in asset management, private wealth division, investment banks or other equivalent financial services firms
  • Strong communication (verbal and written) skills in English is a must; proficiency in Chinese will be highly preferred.
  • Familiar with in Portfolio accounting systems (SimCorp Dimension). Experience of using other similar portfolio accounting systems will also be considered
  • Familiar with Microsoft Office applications. Previous exposure in Excel Macro is a plus
  • Experience in handling investment / portfolio account set up will be an advantage
  • Knowledge of investment operations, investment industry accounting principles, terminology, financial markets, security types and corporate action types is preferred
  • Ability to work effectively and build close relationship with all business partners and management
  • Ability to resolve queries arising in daily work, maintaining accountability and escalating issues appropriately
  • Problem solver who can collaborate with different functions and teams to find solutions
  • Meticulous and attention to details
  • Good time management and organizational skills to prioritize the workloads
  • Work under general supervision with reference to policies and practices for guidance
