Job Description


Job Purpose

To assist the Centre for Asian Legal Studies (CALS) and the Centre for Legal Theory (CLT) in organizing and promoting their events, such as conferences, symposiums, seminars, distinguished lectures, workshops, and book launches. This support includes event management and managing website and social media content with the aim to help both Research Centres to achieve their desired outcomes in the Faculty of Law.

Duties & Responsibilities

The staff will be part of the Centre Shared Services (CSS) team and their main responsibility will be to provide event management support for a variety of Centre events, including conferences, symposiums, seminars, distinguished lectures, workshops, book launches, etc.

The support will involve assisting the Centre Manager and Centre Directors in various aspects of event management such as logistics, publicity planning, collateral design, event registration and attendance tracking, promoting Call for Papers/Abstracts, handling CPD point applications, creating event microsites (if necessary), disseminating event publicity, managing event logistics (such as signages, backdrops, programme booklets, name badges, etc.), collecting feedback, arranging refreshments, transportation, AV/IT setup, participant accommodation, participant management, handling administrative tasks after the event (including expense tracking and post-event reports), and any other duties assigned by the Centre Manager and Centre Directors.

Requirements

Preferably a Diploma holder with at least 3 years of related working experience in events management or in the hospitality/service industry. Those with other qualifications AND with relevant work experiences are also welcome to apply.

  • Proactive and able to work independently with minimal supervision.
  • Service-oriented, meticulous with a willingness to learn, and a team player.
  • Able to work efficiently under time-sensitive circumstances.
  • Strong organisational and time management skills.
  • Possesses a pleasant disposition with good written and verbal communication skills to engage with internal and external stakeholders.
  • Proficiency in MS Office, Word Press, social media postings and hosting of webinars will be an added advantage.
