Check in and check-out guests in a confident, professional, and friendly manner, and provide information about the housing facilities and amenities.
Serves as a primary point of contact for residents via email, and phone calls related to Campus Life (Housing Services) which include dining facilities, sports facilities, facility bookings, and campus travel directions.
Liaise with housekeeping and maintenance sections to ensure the property is in optimum condition for residents.
Receive and log maintenance requests from faculty residents, coordinating with the maintenance team to ensure timely resolution of issues.
Manage residents\' accounts, information, and apartment availability in the property management system.
Ensure that all faculty housing policies and regulations are adhered to, such as quiet hours, pet policies, and parking rules.
Monitor access to the faculty housing premises, maintain security protocols, and issue access cards or keys as needed.
Ensure the front desk is in a presentable environment to welcome residents and University guests.
Ensure the cleanliness and tidiness of the meeting and conference room.
Work closely with other Housing Services sections, such as facilities management, security, and housekeeping, to ensure smooth operations and maintenance of the faculty housing facility.
Gather feedback from residents and use it to identify areas for improvement in housing services and facilities.
Perform finance-related transactions.
Perform other duties as directed by the Management and may be reassigned to similar duties in other properties within Campus Life (Housing Services).
Plan and organize events within Kent Vale for resident engagements.
Manage budgeting and procurement processes.
Contract management of HS contracts.
Generate and analyze call centre data and maintenance defects report monthly.
Compile monthly operational reports necessary for management reporting.
Prepare and send email communications to all KV residents.
Qualifications
Diploma in General Administration, Business and Management, Hospitality, or equivalent
Highly committed with a good service-oriented attitude
Ability to perform assigned duties with attention to detail, speed, accuracy, follow-through, courtesy, cooperativeness, and work with a minimum of supervision.
Ability to attend to difficult customers with confidence.
Preferably, with some experience providing support at the management level with good knowledge of office administration.
Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite and IT applications
Ability to present and write clear and concise reports/specifications.
Strong communication and interpersonal skills
Adaptive, with good monitoring skills, and able to perform under stressful environments.
