Support the Chief Alumni Officer (CAO) in administrative matters, including coordinating and maintaining the CAO\'s calendar, including scheduling and confirming appointments and meetings.
Arrange and manage all logistics relating the CAO\'s overseas travels, including the booking of flights, accommodation, and ground transportation. Prepare travel itineraries and ensure compliance with university policies.
Oversee and manage the CAO\'s expense claims through Concur.
Assist with Alumni Advisory Board meetings and activities, department meetings and visitors.
Assist with arranging local accommodation for overseas colleagues, when required.
Assist to assess requests for, and coordinate distribution of, branded mementoes from ASAC-led golf charities and alumni networks.
Update alumni database with ad hoc alumni activity records.
Cover duties related to Alumni Helpdesk matters, when required.
Perform any other duties as assigned by the Chief Alumni Officer and Head of Administration
Qualifications
A recognised degree with at least 3 - 5 years of working experience
Good command of English with strong verbal and written communication skills.
Excellent project management skills, timeline-oriented, meticulous, and attentive to details.
Courteous and discreet, with good people skills.
Adaptable and able to multi-task in a fast-paced environment.
Prior experience in a similar role would be an advantage.
Familiar with Microsoft Office
Comfortable operating independently as well as part of a larger team
Willing to occasionally work after office hours
