Office Administrator with Commodity Trading firm (perm role)

Our client is an international oil trading MNC which is very stable and established. It is based in town. For this role, you report to Chief Admin Officer (CAO) and Admin Mgr. This is a permanent position. PRINCIPAL DUTIES / RESPONSIBILITIES:
  • Assist in the general administrative functions of the company. Assess the company\xe2\x80\x99s needs for records, information, communication, and other common services and ensure that the organization\xe2\x80\x99s administrative needs are met efficiently, reliably, and economically.
  • Oversee housekeeping and maintenance of office facilities, including reception area, conference/meeting rooms and pantries. Ensure environment, health, and safety standards are met, and comply with government regulations.
  • Input data into accounting system, prepare instructions and maintain records of approved transactions.
  • Procure and keep track of office supplies.
  • Maintain and update group mailing list and other general administration databases.
  • Organize and maintain filing system of documents.
  • Assist with documentation and other administrative activities.
  • Make hotel, transportation, golf and restaurant reservations.
  • Support visa applications for business trips.
  • Manage the company\xe2\x80\x99s service agreements.
  • Support organizing company events and meetings.
  • Support expats with apartments.
  • Liaise with IT team for IT support.
  • Send and receive business correspondence.
  • Manage and maintain the company\xe2\x80\x99s insurances including claims and renewals.
  • Coordinate preparation and distribution of seasonal greeting cards of the company.
  • Other related activities and assignments directed by CAO and Admin Manager.
  • Keep the office environment comfortable and serve drinks for guests.
  • Manage drivers and related support (such as scheduling and conflict management).
  • Maintain and update internal telephone directories.
  • Support reception duty.
  • Posting and mail retrieval.
  • Assist in arranging medical check\xe2\x80\x90up appointments.
  • Support HR team (such as preparation for new joiners)
QUALIFICATION AND REQUIREMENT:
  • Possession of a diploma/tertiary qualification or the equivalent.
  • Must min 5 years of admin exp gained with a MNC
  • Has a positive attitude, proactive, and takes initiative
  • Keen to learn
  • Has a stable cv
