Responsibilities
  • Maintain constant communication with management, staff, and vendors to ensure proper operations of the organisation.
  • Contribute operations information and recommendations to strategic plans and reviews; prepare and complete action plans; implement production, productivity, quality, and customer-service standards; resolve problems; complete audits; identify trends.
  • Develop operations systems by determining product handling and storage requirements; develop, implement, enforce, and evaluate policies and procedures; develop processes for receiving product, equipment utilisation, inventory management, and shipping.
  • Analyse and improve organisational process and workflow, employee and space requirements, and equipment layout; implement changes.
  • Develop, implement, and maintain quality assurance protocols.
  • Improve operational management systems, processes and best practices.
  • Formulate strategic and operational objectives.
  • Examine financial data and use them to improve profitability.
  • Maintain a safe and healthy work environment by establishing, following, and enforcing standards and procedures; complying with legal regulations.
  • Accomplish operations and organisation missions by completing related results as needed.
  • Oversee budgeting, reporting, planning, and auditing.
  • Track vendor pricing, rebates, and service levels.
  • Serve as the primary point of contact when there are customer issues related to quality and customer service.
  • Communicate customer issues with the operations team and devise ways of improving the customer experience, including resolving problems and complaints.
  • Work closely with the GM and management team to set and/or implement policies, procedures, and systems and to follow through with implementation.
  • Recruit, select, train, assign, schedule, coach, counsel, and discipline employees
  • Provide inspired leadership for the organisation.
  • Make important policy, planning, and strategy decisions.
  • Ensure all legal and regulatory documents are filed and monitor compliance with laws and regulations.
  • Support operational risk and audit process for the purpose of preventive maintenance.
  • Oversees the shipping and receiving functions.
  • Collaborates with other back-office team members to ensure seamless business execution, reinforce positive morale, and uphold company values.
  • Works with sales teams to help set and meet daily and quarterly goals.
  • Oversees and reports weekly, monthly, quarterly, and annual metrics.
  • Anticipates and tracks operational and tactical risks and provides strategic solutions.
  • Work closely with the inventory manager and team to perform analysis of our inventory and ensure we are utilising our inventory effectively, purchasing the right goods, maintaining solid inventory data, and reducing sub-rental expenses.
  • Manage staff levels, wages, hours, contract labour to revenues.
  • Manage relationships with key operations vendors.
  • Assist in employee appraisals, promotions, compensation and termination based on the performance review.
  • Establishes and maintains credible, professional relationships with clients, internal business lines, and external vendors.
  • Monitor and control expenses according to the allotted budget.
  • Conduct regular meetings with the team to discuss issues, concerns, updates etc.
  • Support operational risk and audit process for the purpose of preventive maintenance.
  • Coordinates with marketing and sales departments to determine pricing, timing, and number of sales promotions, and products to be sold.
  • Conduct performance review and provide performance feedback to staff.
  • Works closely with the management team to ensure all operational, administrative, and compliance functions within the firm are being properly executed in accordance to regulatory-based best practices.
  • Manage timely data collection to update operations metrics to achieve productivity targets, reduce cost per unit, eliminate errors, and deliver excellent customer service.
  • Identify and address problems and opportunities for the company.
  • Performs other related duties as required.
Requirements and skills
  • Bachelor\'s or associate\'s degree in related fields is preferred.
  • Proven working experience as an operation manager.
  • Knowledge of organisational effectiveness and operations management.
  • Strong budget development and oversight skills.
  • Highly trained in conflict management and business negotiation processes.
  • Proficient in all Microsoft Office applications.
  • Proficiency with computerised financial systems, such as accounting programs(Tally), databases, payment processing, excel spreadsheets, payroll services.
  • Working knowledge of management software programs, including NetSuite, QuickBooks.
  • Strong IT skills, including database development.
  • Strong business sense and industry expertise.

  • Great written skills.
