About the Unit

Region Africa and Asia produces, sells, distributes, and markets fertilizers and industrial products across Asia Pacific and Africa region with offices location and operational units in 19 countries in Australia, China, India, Indonesia, South Korea, Malaysia, Myanmar, New Zealand, Philippines, Singapore, Thailand, Vietnam, Cameroon, Ghana, Ivory Coast, Kenya, South Africa, Tanzania and Zambia. We sell a broad range of quality products to all segments in agriculture, produce and sale ammonia and TAN from our Australian unit mainly to industrial customers, reaching a total volume of 6 million tons per year. The region employs 1600 employees across the 19 countries. Yara has a long history in the Asian Pacific and African markets, and our focus is to develop the Yara Crop Nutrition concepts to increase food production, create value to the growers and minimize the environmental impact of agriculture.

Responsibilities

The Operations Executive (Special Functions) is responsible for coordinating and working with various internal and external parties to deal with tasks related to product and bag quality, pricing, as well as projects.

Product Quality, Claims and Insurance

  • Attend to all claims & feedbacks received and provide support, guidance, and advice to front office/customer/ plants/vendors of the procedures for claim/feedback process.
  • Liaise with all relevant parties such as chartering department, ship owners, liners, plants, vendors, customers, insurance company, surveyors, etc to investigate the causes of claims
  • Ensure customer/front office filed all claims with the insurance company in a timely manner and monitor the progress of claims and claims recoveries/settlements are settled in a timely and cost-effective manner.
  • Liaising with relevant parties such as legal, Finance department, surveying team, Yara Insurance, insurance company in relation to claim if required (such as for investigation or claim purposes)
  • Resolving any shipping related issues or inconsistencies & develop and implement standard operating procedures to improve shipping processes
  • Ensure proper documentation and records of all insurance claims and payments.
  • To work with relevant stakeholders if cargo diversion or re-ship/export is required.
  • Communication of insurance matters and update insurance reports to Yara Asia countries and Yara Insurance.
  • Month end closing marine insurance reporting to Finance and Yara Insurance.
  • Support and provide right information to Yara Insurance on insurance matter such as Marine, Property Damage & Business Interruption, General & Comprehensive liability, and Credit Insurance for premium and other matters.
  • Work with Operations Team to accrue expenses for unsettled claim during year end closing
  • Generate performance reports and communicate to the plants, vendors and chartering department and work with them on improvements of their performance quarterly.
  • To work with relevant parties on bags layout, specifications, logistics materials to standardized or improved the current process and procedures.
  • Attend meetings and conferences to develop knowledge and networks
Profile
  • Min Diploma in any relevant discipline and candidate with good chemistry or supply chain/operations background will be an advantage.
  • Have minimum of 2 years of relevant working experience in claim handling and/or project coordinator with strong organizational and time management skills.
  • Ability to prepare and interpret flowcharts, schedules and step by step action plans based on the objective of the projects.
  • Good communication (oral and written), interpersonal, conflict management and persuasive skills
  • Required Strong critical thinking and Proficient in coordinating, gathering and have good analytical and problem-solving skills
  • Able to work independently in a dynamic and fast-paced environment and to response promptly. Self-driven with the ability to multi-task and take on concurrent and new projects/claims and able to work with different people as a team.
  • Have good knowledge of project management, methodology, techniques, and tools for preparing of presentation slides for projects updates and maintaining of proper work progress records.
  • Excellent organizational and MS Excel Skill and is meticulous and good with numbers.
  • Have high proficiency in Microsoft Office products (such as SharePoint, Visio, Team, Planner, List Power BI, Apps, Automate), YSAP, E.nable, cloud-based and IT softwares, etc.

Transfer Pricing
  • Work with Finance and relevant departments to derive monthly transfer and Interco prices with plants and front offices.
  • Need to maintain the CPT files by computing the FOB, handling, freight, and other costs to compute the CPT Price.
  • Working with relevant departments to ask for update on different costs and upkeep the Pricing Files monthly.
  • Seeking approval for monthly vendors\', markets, and buyers\' price list.
  • Follow up and Uploading of Price Lists from vendors and commercials/markets in SharePoint
  • Attend to other Adhoc duties, projects as and when assigned
Projects
  • Operational Excellence: Being part of Operational Excellence team, to communicate, evaluate and analyze the current processes/issues and identify areas where improvements, simplification, automation can be made to achieve Operation Excellence.
  • ERP Project: Being part of a project team to roll-out ERP project. This includes:
o communicating, coordinating and collaborating closely with different teams, stakeholders, vendors, contactors, etc. As a project coordinator, you will need to serve as a link between different parties.
o providing guidance, training, and support to end users.
o Monitoring and providing timely reports of the project status and potential roadblocks to project committees, stakeholders and different teams involved.
o Ensure proper documentation of the projects & prepare regular reports/updates on project progress and deliverables, highlighting key achievements and areas for improvement.
o Prepare, execute, lead and co-ordinate test plans for user-acceptance if required.
o Responsible for identifying and addressing potential project risks and issues as well as mitigating them that might arise during the projects and be able to continuously assess and improve project processes and methodologies.
o Track and evaluate project progress, making adjustments as needed to stay on track.
o Value-add by providing advice on best practices in using appropriate technology, reviewing, and improving work processes, facilitating and supporting users\' change management process and influencing alignment of changes with the overall organization goals
o Conduct post implementation reviews to gather users\' feedback, assess the outcome and evaluate the impact of the projects implemented.
  • Other adhoc projects, duties, tasks as and when assigned.
