Job Description


OPERATIONS EXECUTIVE, OIL AND GAS TRADING HOUSE, SINGAPORE

Responsibilities

  • Issue and execute Sales and Purchase contracts after trades are done
  • Negotiate, arrange issuance of Letter of Credits as per contract terms in a timely manner, check and review Letter of Credit received from Counter party to ensure that it is in order
  • Liaising with Suppliers and Receivers / Customers to ensure cargoes are shipping in a timely manner, including issuance of shipping instructions
  • Preparation of all Shipping documents for cargoes, Custom clearance for importing and exporting of the products and ensure that all are done in a timely manner
  • Monitor and ensure timely loading / discharging by coordinating with shipping agency and surveyor
  • Manage and/or arrange payments to Supplier in an appropriate, accurate and timely manner and monitor customers\' remittance and payment to Suppliers to minimize interest payments
  • Manage and/or issue invoices to Customer/Receiver in an appropriate, accurate and timely manner
  • Follow up on any overdue payments, negotiate and settle overdue payments with counter party amicably and effectively
  • Confirm Receipt of payments through the Finance Team
  • Compute and settle Laytime/demurrages with Suppliers, Receiver or Ship Owners, if any
  • Ensure all transaction records are record in a timely manner and properly maintained and filed in accordance to business needs, internal compliance process and industry regulations
  • Maintaining and enhancing the relationships with 3rd parties/companies/associates, including terminals, shipping companies, surveyors and shipping agents to ensure smooth operations.
  • Awareness of exposure management where P&L is affected by operations.
  • Interact with Traders to understand and implement their direction in market strategies and to help maximize the value of their strategies.
  • Liaise closely with Risk managers on cost or revenue inputs to accurately record deal economics.
  • Perform other related ad hoc duties as and when required
Requirements
  • 3-4 years relevant experience
  • Advance use of IT equipment and programs, such as Email and internet functions
  • Administrative software including word processing, spreadsheets and presentation
  • Ability to read and speak Chinese/Mandarin for liaising with Chinese counter parts
  • Knowledge of other foreign language will be an added advantage
  • Outspoken with excellent communication skills
  • Good analytical skills, resourceful, responsible, committed, hardworking, good team player and able to work under stressful and fast pace environment
  • Capable of multitasking even under pressure
  • Able to work extended hours if required
