Job Description


Role Responsibilities

To provide support services primarily to the Global Head of HR, CCIB and Head of HR CCIB Products, with secondary support when necessary to wider CCIB HR teams, through the following:

Calendar Management and Support

  • Provide timely and comprehensive support to the Global Head of HR, CCIB and Head of HR CCIB Products, including regularly performing a wide variety of support duties.
  • Managing the calendar, including making appointments, prioritizing the most urgent and sensitive matters, and working with the various parties when conflicts arise
  • Organizing meetings, including scheduling, rescheduling, sending reminders, and organizing catering or other special items/requests when necessary.
  • Confirm attendance to meetings and to take action where necessary such as cancellation or rescheduling.
  • Ensure papers/packs/profile/agenda relevant to meetings are shared in advance.
  • Keeping the Global Head of HR, CCIB and Head of HR CCIB Products, advised of time-sensitive and priority issues and ensuring appropriate follow-up.
  • Manage and coordinate team diaries globally including arranging internal/external meetings and booking meeting rooms when appropriate.
  • Assist in the preparation of correspondence, presentations, and reports including ensuring that such documentation is accurate and completed in a timely manner.
  • Work with colleagues to ensure efficient management of the team (e.g., in relation to supplies/services) and efficient liaison with other departments.
  • Involve and participate in ad-hoc projects as needed, including supporting other departments and senior managers/executives as needed.
Travel Support
  • Arrange all travel and accommodation (international/domestic) with Group-approved travel agencies.
  • Submit all relevant visas, travel documents for the travellers and mobile travel forms to Technology Procurement team, especially for international travel.
  • Create daily itineraries for trips and schedule internal/external meetings.
  • Manage and track the processing of business expenses.
  • Being the point of contact for internal and external parties relating to the Global Head of HR, CCIB and Head of HR CCIB Products, to ensure efficient and effective management of business matters/guests.
Record Management
  • Draft agendas and meeting minutes and ensure timely dissemination to colleagues.
  • Organise and maintain team files and contact databases in line with Group governance policies.
General Support
  • Work with the Business Planning Manager to the Global Head of HR, CCIB to ensure continuity for CCIB HR teams at all times.
  • Work with the Onboarding Specialist to ensure all technology (computer/phone/etc.) have been ordered for new joiners and are quickly operational.
  • Undertake ad hoc administrative duties (as assigned) on behalf of the Global Head of HR, CCIB and Head of HR CCIB Products,.
Support the CCIB HR teams by:
  • Coordinating meetings and team/group events to ensure that effective communication and confidentiality are maintained at all times.
  • Managing the timing and logistics of any papers submitted by the Global Head of HR, CCIB and Head of HR CCIB Products, to Committees and management teams.
  • Approving leave requests and managing expenses in accordance with Group policies and procedures.
  • Undertaking general administrative activities such as telephone calls, IT Service, annual leaves, and e-procurement requests.
  • Management of the secondees including their set up, access rights, laptop and telecommunication requests.
  • Create IT tickets for team members and liaise with Tech Procurement teams to quickly resolve technology systems/device challenges.

Our Ideal Candidate
  • Preferable to have experience in supporting senior executives in PA roles in a multinational company
  • Proven administrative experience in a fast-paced environment
  • Working knowledge of MS Word, Excel and PowerPoint, MS Teams
  • Exceptional writing, editing and proofreading skills
  • Strong communication and interpersonal skills
  • Excellent organizational skills and ability to multi-task
  • Strong attention to detail.
