Job Description

:

  • Maintain calendar; schedule and confirm appointment.
  • Organize meetings by notifying participants and making room arrangements.
  • Coordinate the flow of incoming and outgoing communications by receiving, routing, and/or responding to incoming communications and determining the appropriate office, department, for outgoing communications.
  • Coordinate general office activities and ensure completion of administrative support projects for the GM.
  • Provide information for reports and records through research, data retrieval, compiling and/or tabulating statistics, and organizing and presenting the information in useable and understandable formats.
  • Prepare narrative, numerical and statistical reports for the GM.
  • Safeguard the confidentiality of GM's office by exercising discretion in communicating information to all staff and external parties in handling administrative records, file, and similar confidential items.
  • Facilitate efficient and cost-effective official travel for the GM by making travel arrangements and preparing associated approval forms and expense reports.
  • Prepare correspondence for distribution or approval and signature, checking the documents for completeness and accuracy.
  • Facilitate the success of projects undertaken by the GM's office by scheduling activities with appropriate offices and agencies, advising/contacting participants, preparing agendas and programs, arranging for audiovisual and associated support equipment and coordinating or providing support during the events.
  • Perform records management of a complex filing system by overseeing the filing system, creating files and records as necessary using judgment and knowledge of office requirements, updating files and records, determining retention and purging schedules, and retrieving files and documents as needed.
  • Remain competent and current through self-directed professional reading, developing professional relationships with colleagues, attending professional development seminars, and attending training and/or courses as required by the GM.
  • Contribute to the overall success of the GM's Office by performing other essential duties and responsibilities as assigned from time to time.
Job Requirements:
  • Minimum Diploma
  • At least 1 year of relevant experience.
  • Considerable knowledge of office management, general office practices & procedures and filing systems.
  • Excellent communication skills (both written and oral) and ability to interact across cultures and with all levels of people.
  • Must be IT savvy and proficient in Microsoft Office.
  • Ability to handle stress and work effectively under pressure with frequent interruptions.
  • Exercise good judgment, take initiative, and work independently.
Job Type: Full-timeSalary: $3,000.00 - $3,500.00 per monthBenefits:
