Roles & Responsibilities This position is responsible for providing high-level secretarial and administrative support to the General Manager, and carry out tasks and requests as instructed.
The Personal Assistant works with minimum supervision and handles confidential matters professionally.
Administrative and coordination

  • Acting as a first point of contact for callers, dealing with emails and phone calls by responding, passing on messages or highlighting them for their manager’s attention
  • Manage the General Manager’s schedule to co-ordinate meetings/appointments, and to ensure smooth running of such meetings
  • Screen/handle telephone calls, appointments, mails and emails and take action accordingly
  • Reminding the manager/executive of important tasks and deadlines
  • Coordinate and communicate with various departments and all levels of staff on matters directed by the General Manager
  • Prepare and manage correspondences with internal and external parties for General Manager’s signature
  • Attend to requests and facilitate it accordingly
  • Ensure approval forms are prepared for the General Manager for signature and approval e.g. leave application forms, expense claims reports, etc.
  • Maintain systematic up-to-date filing and tracing systems
  • Implementing and maintaining procedures/administrative systems
  • Miscellaneous tasks to support their manager, which will vary according to the sector and to the manager’s remit, eg completing some corporate governance reporting (to ensure that the business is being run properly and complying with legislation and regulations) or conducting research.

Other Responsibilities
  • Booking and arranging travel, transport and accommodation
  • Collating and filing expenses
  • Attend all briefings, meetings and trainings as assigned by management
  • Perform other reasonable duties assigned by the assigned by the Management

Work Experience
Knowledge and Experience
  • Diploma education
  • Minimum 2 years of secretarial experience with at least 1 year serving the senior management level
  • Excellent reading, writing and oral proficiency in English language
  • Good working knowledge of Google Calender, Google Docs, Sheets, MS Excel, Word, & PowerPoint
