Key Responsibilities1. Responsible for providing secretarial and administrative support to CM (TP)Duties / Tasks1. Maintain proper and effective filing system for easy retrieval of information, reports, and approval papers.2. Communicate with both staff and external parties to make appointments, schedule meetings, gather information and handle telephone calls.3. Provide support for meetings, e.g. Sending out convening advice, conference and volunteers\' room set-up/arrangements, preparation and compilation of papers for meetings, minutes etc.4. Monitor progress of assigned tasks to staff and to update on impending/outstanding matters.5. Follow up on daily feedback and monthly/quarterly report update to Customer Experience (CEI), OGM, EC, etc.6. Prepare monthly DO roster, compilation of DO report and occurrence report.7. Prepare documents for CM for meetings, such as MC, SMM, EC, OGM, etc.8. Follow-up of staff movement i.e. MC and AL application (via e-Service), OIL form from team leads etc.9. Update the Nominal Board upon instruction from HQ HR and/or staff movement.10. Update of SAFRA TP Executive Committee listing to HQ.11. Update of Telephone contact list (upload in the share folder).12. Minutes Taking for EC Meetings and consolidated of slides for EC Meetings.13. Document Checks for PR/PO/SOAs/IGs Claims & Sighting of documents and Compliance of Audits reports14. Tracking of IGs/Sports Group Calendar of Events/Competitions/Meetings15. Covering for Admin Ops Officer16. Adhoc support for Projects/Events Team17. Any other tasks assigned by CM (TP).Requirements:
