As part of a dedicated team, this position will contribute to Marriott's commitment to fire protection and life safety across Marriott's brands. This role provides administrative and operational support to department leadership, including calendar and travel management, invoice processing, and account reconciliation. It involves independently researching and resolving policy-related inquiries, maintaining tracking systems for projects and compliance, and updating documentation. The position also supports onboarding, meeting coordination, and consultant contract management, while assisting with presentations, reports, and other tasks as needed.
CANDIDATE PROFILE
Education and Experience
Required
2 years administrative support or similar experience
Experience in Microsoft Office applications: Word, Excel, Teams, SharePoint and PowerPoint
Demonstrated ability to manage multiple projects independently and collaboratively, with strong analytical, interpersonal, and communication skills.
Preferred
2- or 4-year degree preferred
Knowledge of the Administrative processes related to the position typically gained with several years of related experience.
CORE WORK ACTIVITIES
Explains the administrative procedures surrounding the assigned tasks and responds to all questions regarding the tasks including infrequently asked questions or nonrecurring issues.
Independently performs research and analysis needed to address any questions or issues regarding department policies, procedures, information of services, including those of a complex nature, prepares reports, and presents information.
Calendar management.
Organize all aspects of travel such as visa applications, flight and accommodation bookings and transportation arrangements.
Reconciles accounts, research discrepancies in the amounts charged to the accounts, and prepares reports.
Handles and submits invoices.
Performs monthly accruals.
Continually updates written work processes, contact information, and procedures with regards to administering the assigned duties.
Develops and maintains a tracking or reporting system pertaining to projects and inspections utilizing spreadsheets, databases, or other software applications.
Verify compliance levels through Transcendent and other means.
Performs administrative duties for Director FLS, Sr. Manager Security Design, and others in the department including filing, ordering, answering phones, etc. and tasks as needed.
Arrange meetings upon request.
Assist with various assignments as instructed, such as preparing PowerPoint presentations, consolidating reports, composing correspondence, and other related tasks.
Manage consultant EIDs, contracts and renewals.
Support on-boarding process and coach new joiners (associates and consultants).
