Provide comprehensive programme administrative and logistical support for existing and new training programmes, seminars, conferences, study visits and ad hoc events.
Manage the full spectrum of programme administration and logistical duties, including pre- and post-programme administration as well as on-site support, to ensure smooth delivery of programmes. Key tasks include:
1. creating courses and classes in the TREX system
2. preparing programme publicity materials
3. managing participant registration and confirmation
5. recording attendance and compiling course evaluations
Procure items related to programmes and events
Ensure proper accrual of programme- and event-related expenditures
Process timely invoicing and billing to participants
Facilitate prompt payments to trainers and suppliers
Collaborate with domains and L&D Specialists/Researchers to ensure seamless programme delivery and meet college KPIs, such as LAE scores and target reach
Take responsibility for knowledge management, including maintaining accurate and proper records in compliance with college standards and operational guidelines
Requirements:
2 years of relevant working experience, preferably in a programme / event administrative role.
Excellent communication and written skills.
Highly organized and meticulous.
Team player, able to work under pressure and meet short deadlines.
Strong interpersonal and customer service skills.
Adept at problem-solving and time management.
Demonstrates a positive attitude with integrity and a drive for excellence in work.
Proficient in:
1. Microsoft Office applications
2. Virtual platforms such as Zoom, Google Meet, and MS Teams
3. Digital tools including Pigeonhole, Kahoot, and Mentimeter
