SG Project Event Coordinator | MCI | Global engagement & marketing agency
JOB OBJECTIVE
As a Project Event Coordinator, the primary role is to support MCI Singapore - Performance Improvement (MCI-SG-PI), and the Client in managing the projects and events for the India market. Client events will widely comprise of marketing communications and project events operations.The role requires a range of skills, from sound operational understanding of all aspects of event operations management through to mature, resourcefulness, attention to detail, professional communications, and even-handed client management.MAIN RESPONSIBILITIES
Client Management (20%)

  • Project Event Operations
  • Provide overall event support services for Client's India Platforms and Ecosystems team across business hours of 9:00 AM to 6:00 PM [Indian Standard Time (IST)], Monday - Friday.
  • Project Event Systems Set-Up & Development, Support, Processing, Validation and Maintenance
  • Project Event Liaison & Facilitator for Event Users, Information & Communications
  • Data Extraction & Report Consolidation
  • Overall Client Liaison & Project Event Administration
  • Liaison with MCI Singapore - Performance Improvement (MCI-SG-PI) pertaining to Client's requirement
  • Managing Confidentiality of Budget Management and Personally Identifiable Information (PII) data privacy with MCI-SG-PI
Project Event Management & Administration (80%)
  • Governance:
  • Set-up and plan detailing timelines, tracking and providing updates regularly as required by Client. Detailed work scope of Project Events will be specified by Client and communicated in the Production Plan on a weekly basis.
  • Coordinate weekly meetings with Client to provide updates/progress of the event.
  • Rewards:
  • Managing digital rewards with MCI-SG-PI, in alignment with Client's requirement.
  • Preparing email communications for Project Events' participants, with obtaining approvals from Client.
  • Content Creation and Developer Preparation:
  • Managing interactive features (keynotes, videos, etc) with applicable formats and themes; determined and agreed with Client, for usage in webinars (Project Events).
  • Working on content creation including - Artwork adaptation for webinar layout,
  • Technical brief for all event participants,
  • Pre-event recording for all event participants that are pitching in the event,
  • Check and ensure all needed platforms to run events are fully operational for and on the actual event days,
  • Copywriting where applicable, and
  • Adaptation of Creative assets.
Event Registration Tool Management:
  • Set-up Electronic Direct Mail (EDM) on Client's event registration tool (copy and artwork to be provided or developed separately as above).
  • Set-up mailing database
  • Event Management Tool Website Management:
  • Set-up website page according to qualification of brief
  • Website page and maintenance
  • Updating and modification of event information
  • Event Production:
  • Manage the production aspects of all events in accordance with Client's requirements including technical operation.
  • Design and build of virtual sets.
  • Back-end liaison with event speakers.
  • Supporting venue branding and production including visuals of stage and interactive experiences.
  • Provide following deliverables including but not limited to; webinar layout, virtual event platform to run the event on, and all necessary manpower required to run the events with success.
DESCRIPTION OF THE RELATIONSHIPS
  • The role reports to Senior Account Executive of Performance Improvement.
  • The role may also be required to provide information to Director of Performance Improvement and Director Corporate Division.

  • English language proficiency, both spoken and written
  • Well-rounded individual, resourceful and self-initiated
  • Excellent communication skills, good team player and excellent interpersonal skills to deal with clients
  • Great customer mindset, proactive disposition with strong negotiation and problem-solving skills
  • Takes initiatives and ownership of job tasks
  • Superior verbal, written communication and presentation skills are essential.
  • Able to present well, have an engaging personality and passionate on client management
  • Strong organizational skills and ability to handle multiple tasks and priorities while demonstrating excellent time management skills.
  • Attention to detail and able to work autonomously and independently without direct supervision.
  • Great customer oriented and proactive disposition, with an energetic, target driven sales mindset.
  • Strong research background to explore the industry, drawing information from a variety of sources and analyse research findings to develop concept plans & strategies.
  • Able to build and maintain client relationships at all levels.
  • A background in digital marketing, incentives rewards, and recognition solutions would be an advantage.
SPECIFIC TECHNICAL SKILLS
  • Good knowledge of technology systems and processes including web development, digital solutions, virtual presentations, and hybrid experiences.
  • Proficiency in using web-based applications, platforms, and processes.
  • Excellent knowledge of Google Workspace suite; including Calendar, Drive, Docs, Sheets, Slides, Meet, etc.
