Assists the DPM in the tactical activities needed throughout the design, procurement, deployment and commissioning of IT gear in office builds.
Manage small projects with the oversight of a DPM per project
Specific duties include:
Create and comment on standard design layouts for IT equipment in AutoCAD
Create and track tasks for project life cycle
Create first equipment Bill of Materials (BOM) using templates
Manage Procurement Tasks in company's internal task system
Manage End User procurement and deployment portion of projects
Verify vendor quotes and purchase orders
Track orders and work with Logistics to coordinate deliveries and ensure equipment is received
Identify risks to procurement e.g. long lead times, customs clearance etc.
Track overall project progress in weekly reports
Project Meeting minutes writeup
Support DPM with project completion presentations, reports, and updates
Maintain the document repository, various workplace groups and chats with external vendors
Coordinate with Engagement and Logistics teams for deployment and commissioning of equipment on site
Attend on-site fit up week prior to First Day of Business as appropriate, to support DPM and cross functional teams
Chase invoicing and payments/credit notes, closing out POs
Cross-check various tools to ensure project information is up to date on all platforms
Set-up lessons learned meetings post FDOB
Your Background
Bachelor's Degree in relevant field
Minimum 4 years experience with Project Management; coordinating schedules, supporting inventory and or logistics, managing communications & timelines, finance tracking, along with managing small projects autonomously
Practical experience with Google Docs, Excel, PowerPoint, Outlook, Word and WorkPlace
Construction, new builds, AV/VC or technology deployment a plus
Experience within PDF view and editors such as adobe, bluebeam, or similar a plus
1 year of experience with CAD, Plangrid or other drafting software a plus
Prior experience with financial systems and processes a plus
Ability to work effectively across multiple teams in a time sensitive capacity
Self-motivated & highly adaptable, able to work autonomously
Excellent written and verbal communication skills
Highly organized with strong attention to detail
Excellent time management skills
Communication and reporting skills
Build effective working relationships with cross functional teams and suppliers
