SCOPE OF RESPONSIBILITIY: * Scheduling and organization of SMC / MLC / ISSC audits & Annual Flag State Safety Inspections (ASI) and vetting inspections. * Provide support for all types of Audits SCOPE OF RESPONSIBILITIY: Scheduling and organization of SMC / MLC / ISSC audits & Annual Flag State Safety Inspections (ASI) and vetting inspections. Provide support for all types of Audits / Inspections and Certificate processing. Coordinate the data collection required for the various vessel performance reports Coordinate the data collection from various campaigns. Plan and organization of meetings and take minutes as required by DPA, CSO and VP QHSE. Preparation on monthly performance statistics/KPI. Development and maintenance of data evaluation files. Preparation, maintenance and distribution of monthly Fleet Performance Report, Circulars, Statistics, Scorecards, QHSE Department publications, etc. and support in creation of further QHSE reports, information letters, etc. Maintain updated list of all QHSE certification, Document of Compliance (DOC), Safety Management Certificate (SMC), various ISO certificates and declarations. Office organization (QHSE mail to ship's, telephone assistance, preparation of accounting issues, etc.). Filing, maintenance, arrangement of amendments and distribution of QHSE files. Administrate, amend, follow-up of approval process and distribution of Ship Security Plans (SSP). Assistance in project work as ordered. Assist with follow-up on findings and non-conformities of Audits and Inspections. SKILLS & COMPETENCIES: Demonstrates teamwork, interpersonal and communication skills in written and spoken English Proficient in Microsoft Office and Adobe applications (MS Word / MS Excel / MS PowerPoint / MS Outlook / SharePoint) Experience in monitoring and processing key performance indices, metrics Self-motivated and ability to work well under time pressures with little supervision Ability to work well within a diverse team environment EDUCATIONAL QUALIFICATIONS & EXPERIENCE Diploma or equivalent and 2 year's relevant experience. Working experience in a ship management company or in a shipping environment Good skills in written and spoken English
