Description

Responsibilities:

  • Answering telephone, screening and directing calls where appropriate.
  • Meeting and greeting internal and external guests and offering refreshments to external guests.
  • Receiving and distributing incoming courier mail, fruit, milk and general deliveries.
  • Booking local/interstate/overseas couriers including preparation of documents and parcels in readiness for daily collection by Courier Company.
  • Booking transport and accommodation for guests as when requested.
  • Calendar/Diary Management, including booking and coordinating meetings, audio & video conferences.
  • Manage the preparation of meeting rooms for all internal and external meetings, including room and catering set up for meetings and functions.
  • Providing administration support for company conferences, social and other marketing events where required including selection of venues, contract negotiations, event budgeting and cost control, menu selection, on site co-ordination, post event review and feedback.
  • Corporate merchandise/gifts inventory management
  • Providing general administration support to various departments, including but not limited to preparation of documents, data entry, general typing, mail-outs, overflow work, lunch & learns, etc.
  • Emailing communication to employees, i.e. general announcements, birthday advices, alerts.
  • Being knowledgeable about staff movements in and out of the organisation, and interstate & overseas visitor arrivals/departures.
  • Maintaining facilities, kitchens, and breakout areas throughout day (i.e. tidy bench tops, cupboards & drawers, retrieve and return stray inventory to kitchens or facilities areas.)
  • Managing expense processing and reimbursements on a timely basis for senior management
  • Ensuring compliance with all legal, statutory and corporate affairs requirements on a timely basis.
  • Performing other related duties as assigned by manager or other appropriate officer.
  • Any adhoc duties as assigned by supervisor
